Position Overview:
We are seeking an energetic and detail-oriented Dispatcher to join our growing plumbing company. The ideal candidate will be a multitasker with excellent communication skills and the ability to handle a fast-paced environment. As a Dispatcher, you will play a crucial role in ensuring the smooth and efficient operation of our field services by coordinating technician schedules, ensuring proper documentation and payment collection, and maintaining positive relationships with both commercial and residential clients. The role requires a self-motivated individual who is eager to grow with the company and contribute to achieving our mission of exceptional customer service and operational excellence.
Key Responsibilities:
- Phone Management: Answer incoming calls, schedule service appointments, and address customer inquiries in a professional and timely manner.
- Dispatching Technicians: Assign the right technician to each job based on availability, skillset, and geographic location. Ensure that all dispatches are confirmed and that technicians are equipped with the necessary information before departure.
- Job Tracking & Coordination: Monitor the status of active jobs to ensure that technicians are adhering to schedules. Track job progress and ensure they are completed on time.
- Payment and Documentation: Ensure all calls are properly closed out with accurate payment details, including purchase order numbers and costs. Follow up to verify payments are received in accordance with terms, especially for commercial clients.
- Invoice Management: Confirm that commercial customers have received their invoices and that payments are processed within the agreed-upon 30-day timeframe.
- Customer Communication: Act as the main point of contact for any post-service concerns, ensuring that both customers and technicians have clear, consistent communication throughout the service process.
- Software Proficiency: Use company dispatching software and other systems to manage schedules, track service calls, document customer information, and update job statuses.
- Growth & Development: Actively contribute to team success and demonstrate a willingness to learn and grow within the company. Help streamline processes and improve operational efficiency.
Qualifications:
- Proven experience in a dispatch or customer service role, preferably within the service or trades industry 5 years minimum
- Strong multitasking abilities and the ability to manage a high volume of tasks in a fast-paced environment.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Proficiency in using computers and software (experience with dispatching or service management software is a plus).
- Ability to work independently and as part of a team.
- Positive, can-do attitude with a drive to meet company goals and achieve personal growth.
- Ability to handle sensitive customer information with discretion and professionalism.
- Flexibility and willingness to adapt to the evolving needs of a growing company.
Additional Skills (Preferred):
- Experience in the plumbing or construction industry.
- Previous experience working with commercial clients or handling invoicing and payment collection.
- Bilingual (Spanish) a plus, but not required.
