Position Summary
- The Event Marketing Specialist is responsible for planning, coordinating, and executing all aspects of Medela’s annual Symposium and participation in healthcare conferences, particularly in the NICU/Maternity hospital space
- This role will also showcase Medela’s retail pumps and essential products
- You will work closely with clients, vendors, and internal teams to create memorable experiences that meet or exceed customer expectations
- This role will receive strategic direction from Medela’s Medical Affairs department and execute strategic direction from Marketing, ensuring strategic initiatives are achieved within the conference/marketing budget
- The Event Marketing Specialist will handle all aspects of event logistics, from initial planning through post-event evaluation
- Bachelor’s degree in Marketing, Business, Event Management, or a related field
- 3-5 years of experience in trade show management or event planning, preferably in the healthcare industry
- Strong organizational and project management skills
- Excellent communication and negotiation abilities
- Ability to manage multiple projects, vendors, and logistics while maintaining attention to detail
- Strong interpersonal skills with the ability to build relationships both internally and externally
- Experience working with Salesforce or similar CRM tools
- Technical aptitude with the ability to translate complex concepts for event audiences
- Ability to work collaboratively with cross-functional teams across different time zones
- Proficiency in Microsoft Office Suite
- The role may require occasional travel to event locations and flexibility in working hours, including evenings and weekends
- The position involves working in a hybrid-office setting and on-site event environments
- Ability to travel by airplane at different times throughout the year for trade shows as required (20% travel)
- Conference Planning and Execution:
- Develop and manage comprehensive event project plans, including timelines, budgets, and logistics in alignment with company standards and processes
- Serve as the main point of contact at trade shows, overseeing all required onsite setup and logistics
- Produce marketing materials including literature, signage, promotional emails, and manage inventory of reusable tradeshow items
- Coordinate with Medical Affairs and Marketing to align conference objectives and strategies
- Ensure compliance with all regulatory and company standards
- Vendor and Stakeholder Management:
- Negotiate contracts with vendors and service providers to secure the best arrangements within budget
- Manage relationships with external partners, including venues, suppliers, and contractors
- Collaborate with internal teams to ensure seamless execution of conference activities
- Marketing and Promotion:
- Develop and execute innovative tradeshow marketing strategies to promote our brand and generate leads
- Manage social media around marketing activities, including trade shows, webinars, and events
- Work with the Marketing team to develop promotional materials and campaigns for conferences
- Budget Management:
- Develop and manage event budgets, ensuring cost-effective use of resources
- Track event expenses and provide regular financial reports to stakeholders
- Identify opportunities for cost savings and process improvements
- Performance Evaluation:
- Document and share customer insights and lead information with internal teams, handling data entry into Salesforce
- Analyze and report on the success of trade show activities, including attendee engagement and lead generation
