SUMMARY
This position plays a critical role in finance by ensuring accurate and timely processing of invoices and payments. The Accounts Payable Coordinator will work collaboratively with internal departments and external vendors to maintain financial records and processes.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Match purchase orders with invoices and receiving documents, verifying pricing, quantities, and terms: research and resolve discrepancies with vendors and/or purchasing agent.
- Complete coding and GL assignment for all invoices and/or purchasing agent.
- Process all invoices for payment as assigned including preparing checks and ACH payments in a timely manner according to due dates and discount dates.
- Reconcile vendor statements, reviewing them for open items.
- Understand sales/use taxability and identify when the company has a need to self-assess taxes.
- Reconcile company credit card and employee expense reimbursement reports.
- Maintain files and documentation including purchase orders and receiving paperwork in accordance with company policies and accepted accounting practices.
- Assist with month-end close.
- Responsible for communicating with Mrs. Gerry’s Kitchen employees and outside vendors on billing issues and statements.

- Strong interpersonal and customer relations skills, both written and verbal, to effectively communicate with vendors and employees.

- Self-starter, ability to work independently, and seeks to understand the nuances of each task.
- Critical thinking and analytical capabilities to ensure accuracy of duties performed.
- Organized and flexible during peak times of the month, quarter, and year end to ensure accuracy and timely completion of reporting.
- Knowledge of basic accounting principles and bookkeeping.
- Previous experience in tracking budget expenses.
- Prior experience with software programs to perform complex mathematical calculations, track invoices, issue payments, and produce financial records.
- Ability to adapt to new accounting tools, spreadsheet programs and online billing portals.
TECHNOLOGY
- Intermediate proficiency of Microsoft Suite, including Excel and Outlook. Microsoft Dynamics Navision ERP knowledge is preferred, but not required.
- Typing proficiency of 35 wpm or higher
