Role Overview
The Correspondence Specialist in the mortgage industry is responsible for managing all written communication between the mortgage company and its customers, partners, and regulatory entities. This role involves drafting, reviewing, and disseminating correspondence to ensure accuracy, compliance, and positive customer experiences.
Essential Duties: In addition to related job duties as assigned, this position will:

Draft, review, and edit various types of written correspondence, including letters, emails, and notifications related to mortgage transactions.

Ensure that all correspondence aligns with company policies, regulatory requirements, and industry best practices.

Respond to customer inquiries and concerns in a timely and professional manner.

Provide clear and accurate information regarding mortgage processes, account details, and other relevant topics.

Stay informed about changes in mortgage industry regulations and compliance standards.

Ensure that all written communication complies with legal and regulatory requirements.

Conduct reviews of outgoing correspondence to verify accuracy, completeness, and adherence to established guidelines.

Collaborate with internal teams to address and rectify any discrepancies.

Work closely with relevant departments to address and resolve customer concerns raised in written communication.

Escalate issues as needed to ensure timely resolution.

Maintain accurate records of all outgoing and incoming correspondence.

Utilize appropriate systems for documentation and tracking purposes.

Ensure compliance with company policies, procedures, and regulatory requirements.

Stay informed about changes in mortgage industry regulations and policies.
Qualifications
Qualifications, Experience & Knowledge

Bachelor's degree in communication, business, or a related field.

Previous experience in a customer service or correspondence role within the mortgage industry.

Strong written and verbal communication skills.

Knowledge of mortgage industry terminology, processes, and regulations.

Detail-oriented with excellent organizational skills.

Customer-focused with the ability to handle sensitive and confidential information.
Physical Requirements

Stationary position; prolonged periods at a desk and working on the computer.

Occasional movement about inside the office to walk to offices and office machinery.

Occasional lifting up to 10 pounds, must be able to push, pull, pull up, bend at the knees and waist, twist body at the waist, raise and hold arms overhead, turn head-neck-shoulders as needed, grasp and hold tools and other items with hands, for either extended periods of time or many times throughout the workday.
