Position Overview
As the Scheduler I, you will play a vital role in ensuring our operations run smoothly. This position focuses on managing schedules, optimizing routes, and responding to day-to-day scheduling adjustments caused by cancellations and staffing. The ideal candidate will excel in providing administrative support, communicating effectively with customers and staff over the phone, and using critical thinking to create efficient schedules that minimize travel time and maximize productivity.
Key Responsibilities
- Scheduling and Optimization
- Coordinate daily schedules for HVAC services, crews, and auditors, ensuring
efficiency and resource optimization.
- Strategically assign jobs based on proximity and travel times to minimize
downtime and costs.
- Maintain schedules at least 10 days out while quickly adjusting for cancellations or no-shows.
- Administrative Support
- Input and manage crew assignments, customer leads, and job details in Monday.com and other databases.
- Prepare and organize job folders, ensuring all required documentation is accurate and accessible.
- Arrange accommodations for staff during long-distance assignments.
- Customer Communication
- Act as the primary point of contact for incoming calls, providing excellent customer service.
- Send out communications, including intake letters, cancellation notices, and certified mail.
- Handle intake for various customer types, including private clients and Weatherization Assistance Program (WAP) participants.
- Problem Solving and Coordination
- Respond quickly and effectively to day-of changes, such as cancellations or staffing issues.
- Collaborate with stakeholders to resolve minor customer issues and escalations.
- Track and document schedule changes, no-shows, and job statuses for reporting
purposes.
Qualifications
- Experience: At least 2 years of experience in scheduling, logistics, or administrative
support preferred.
- Skills:
- Exceptional phone communication and interpersonal skills.
- Strong organizational and time-management abilities.
- Critical thinking and problem-solving skills to make quick adjustments.
- Proficiency in Google Suite, Monday.com, or similar platforms.
