Job Summary
We seek highly organized and detail-oriented Secretaries to work in our Administrative Office . The ideal candidates will be responsible for providing administrative support, managing front desk operations, and ensuring smooth office functionality. This role requires excellent communication skills, a strong customer service orientation, and the ability to manage multiple tasks efficiently and confidentially.
Responsibilities
- Greet visitors and manage front desk operations with professionalism and courtesy.
- Handle incoming calls, emails, and correspondence, ensuring effective communication with clients and staff.
- Manage calendars, schedule appointments, and coordinate meetings as assigned.
- Maintain organized filing systems and assist with document preparation and data entry tasks.
- Provide administrative support to various Church Ministry departments as needed, including clerical tasks such as typing and record keeping.
- Assist in maintaining office supplies inventory and placing orders when necessary.
- Ensure confidentiality of sensitive information while adhering to company policies.
- Input and track financial data and produce reports, track employee hours for payroll processing, work closely with external bookkeeper, and produce financial reports, as assigned.
- Create flyers for special events as assigned.
Skills
- Proven experience in an administrative role as secretary is required; experience with database management and producing financial reports highly preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent customer service skills with a friendly demeanor.
- Proficient in calendar management and scheduling software.
- Strong phone etiquette and communication skills for effective interaction with clients and colleagues.
- Ability to multi-task and work independently as well as part of a team, demonstrating flexibility in a dynamic environment.
- Familiarity with website updates and proficiency with Microsoft Office (Word, Excel, Powerpoint, Outlook), desktop graphics and publishing highly preferred.
- HS Diploma/GED required; college a plus.
