Job Summary:

We are seeking an Administrative Support Specialist responsible for ensuring the smooth operation and efficiency of job management processes within the company.

Key Responsibilities:

  • Provide excellent customer service to homeowners, adjusters, and contractors.
  • Handle incoming calls and emails, resolve issues or direct inquiries promptly.
  • Collaborate with internal teams to address and escalate customer concerns.
  • Coordinate with the sales team to follow-up on leads and customer feedback.
  • Monitor and communicate customer feedback for product or service improvements.
  • Connect with homeowners to ensure transparency of the process and reassurance of our commitment to caring for their belongings and them.
  • Schedule services in collaboration with all customer bases, project manager, and scheduling manager.
  • Transcribe necessary information in written form to aid job flow for field staff by creating and confirming work order.
  • Obtain coverage information or escalate if unable to obtain for all unconfirmed coverage.
  • Ensure completion of Customer Satisfaction (SAT) and Certificate of Satisfaction (COS) in compliance with insurance requirements.
  • Ensure progression of job completion through file management.
  • Communicating with the scheduling department when a job is ready for delivery.
  • Read scope and print labels for CSRs.
  • Verify the creation of new jobs in the company’s electronic system.
  • Review DocuSign to ensure completion of necessary documentation and transfer completed information to the electronic filing system.
  • Ensure paper files have all necessary documentation for field staff to complete services on site in compliance with insurance and CRDN requirements.
  • Returning voicemails addressing questions, concerns, and reassuring CRDNs deliverable customer service expectations.

Qualifications & Skills:

  • High School Diploma, or equivalent.
  • Previous experience in customer service, scheduling, or administrative support (experience in restoration, insurance, or construction industries is a plus).
  • Proficiency in MS Office Word, Excel and Outlook.
  • Excellent communication skills, both written and verbal.
  • Attention to detail and accuracy in work.
  • Ability to multitask and prioritize tasks effectively.
  • Experience with Office Equipment, such as printers and scanners.
  • A positive attitude and a passion for delivering exceptional customer service.

Physical Demand and Work Environment

The physical and environmental demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Must be able to remain in a stationary position 70% of the time.
  • Constant use of hands and fingers to operate computers and other office machinery and ability to constantly observe details at close range.
  • Occasionally ascending/descending stairs to office, lifts and carries items weighing up to 15 pounds and bending, kneeling, and crouching to maintain files in file cabinets.

Job Type: Full-time

Pay: $19.50 - $30.00 per hour

Expected hours: 40 per week
