Reporting to the L&D Manager, this role helps drive operational efficiency and consistent support across these functions. Approximately 40% of this role’s time will focus on L&D support, with 20% each dedicated to Front Desk, HR & Marketing support.

This role works closely with leaders and team members across multiple departments, delivering high-impact administrative support and contributing to company-wide initiatives. The ideal candidate is highly organized, adaptable, and resourceful—a skilled communicator who can anticipate needs, solve problems proactively, and manage shifting priorities with ease.

ESSENTIAL JOB FUNCTIONS
Learning & Development Support (40%)
- LMS operations & migration: Manage MTech’s Learning Management System (LMS), including class scheduling, record management, and troubleshooting. Serve as the primary point of contact for LMS-related inquiries. Actively support the migration to a new platform in early 2026 (preparing communication campaigns and assisting in data migration and internal training).
- Training support: Coordinate day-of training logistics by booking rooms, ordering meals, supporting facilitators’ needs, setting up/tearing down training spaces, and preparing training materials.
- Onboarding support: Create and maintain orientation materials. Coordinate scheduling and communication for onboarding sessions to ensure a seamless experience for new team members.
- Regular and predictable attendance is expected in order to meet the requirements of this position
- Other duties as assigned
Front Desk Support (20%)
- Reception coverage: Provide coverage for our receptionist during lunch breaks, events and absences. Greet visitors and answer/direct phone calls in a professional and welcoming manner.
HR Support (20%)
- Recruiting support: Help coordinate career fairs, including packing/unpacking materials and ordering materials. Provide backup support for pre-employment screening processes and candidate sourcing efforts.
- General HR Support: Support corporate jobsite badging process, team member paperwork filing, I-9 paperwork organization, possible benefits support and other duties as assigned.
Marketing Support (20%)
- Event coordination: Assist with event planning during high volume periods, including registration and on-site coordination for company events such as our annual picnic and clay shoot.
- Community & internal communications: Coordinate community service opportunities and event-related materials like T-shirts and swag. Help organize and distribute promotional materials for internal and external events.
- Data management: Support CRM data entry and maintenance.
QUALIFICATIONS
- Proven experience coordinating multi-step projects or supporting cross-departmental initiatives is preferred. Experience in the construction industry is a big plus.
- Familiarity or experience managing an LMS or similar system is highly preferred.
- Event and/or training coordination experience with strong logistical planning skills.
- Exceptional organizational skills and attention to detail.
- Resourceful problem-solver who can anticipate needs and proactively offer solutions.
- Comfortable navigating ambiguity and adapting to evolving priorities with a client-focused mindset.
- Proven ability to communicate effectively and build strong relationships with and across diverse teams.
- Demonstrated experience handling confidential matters with professionalism and discretion.
- Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint) and comfort with learning new systems and technology.
