JOB RESPONSIBILITIES: ASSISTANT PROPERTY MANAGER
General Duties
· Assist PM with resident correspondence
o Lease violation notices
Waiting List
· Maintain waiting list
o Respond to applicant inquires through website
· Conduct annual waiting list update
o Notify PM is list needs to be opened/closed
· Applicant files
o Keep all required documents current and organized
o Maintain application archives
o Purge rejected applications after 7 years
· Maintain internal waitlist for over and under-housed residents
Move Ins
· Follow procedures for screening applicants and moving in
o Meet with applicants at top of respective wait list
o Keep top applicants in pending stage, pre-offer
o Submit third party verifications, request EIV
o Present documentation to PM for review
o When approved, make offer, show unit
o Review final documentation with rent calculation with PM
Interim Certifications
· Process interim recertifications when applicable
o Notify RS of pending IRs effective near annual recertification date
o Confer weekly with RS to review all interims in process to avoid duplications
o Notify PM of pending certifications resulting in significant rent increase
Move Outs
· Process move outs
o Meet with tenant, collect written notice to vacate
o Notify PM, RS and MD of pending vacancy
o Update move out data in OneSite, including Make Ready Board
o Email maintenance director to schedule pre-move inspection, ensure copy of notice is in tenant file
o Collect and file copy of move out inspection, add charges to ledger as needed
o Final meeting with tenant, review charges and security deposit refund procedure
o Collect keys from tenant, give to MD, return fobs and gate cards to PM
o Process FAS, security deposit refund, obtain PM signatures
Reasonable Accommodation
· Process all RA requests, forward to PM for initial approval
o Submit requests to 504 committee
o Keep copies of RA requests (regardless of approval/rejection) in resident file
o Maintain RA spreadsheet, submit to PM quarterly
o Notify MD of requests requiring modifications to apartment
Resident Files
o Ensure all paperwork placed in appropriate location in file
o Ensure all move out files are placed in marked boxes in archives
o Ensure purged files placed in archives in corresponding archive folder
o Purge move-out files after 7 years
Pest Control Program
o Schedule services for routine pests and bedbugs
o Maintain service spreadsheet, forward to administrative assistant as needed
o Maintain pest control logbooks for service reports and resident notifications
Administrative Support
o Assist with answering incoming telephone calls
o Assist with office access control
Job Type: Full-time
Pay: $29.00 - $30.00 per hour
Expected hours: 40 per week
