What are the responsibilities and job description for the Maintenance Purchasing Manager position at Multi-Family?
-Purchasing all supplies and parts necessary for daily asset maintenance. This may include small parts like gaskets and light bulbs to larger purchases like a bulk supply of air filters or maintenance equipment like a paint spray rig.
-Purchasing all appliances when replacement units are needed, generally during the time of turnover maintenance between the past resident and the new resident moving in.
-Communicate frequently with Asset Managers, Regional Asset Managers, and Asset Maintenance Staff to understand the purchasing needs and priority of each apartment community. The nature of this role is fast-paced and real-time; as such, email communication may often be insufficient, and frequent phone and text communication will be required.
Periodic travel to Company assets is expected. At the time of hire, it will be critically important for the Purchasing Manager to see all GIT assets and obtain an intimate understanding of the apartment floor plans offered at each asset as well as the current purchasing mix, including appliance makes/models, preferred purchasing partners, and historical spends/trends.
· Travel will be very heavy for the first two months of employment. The Company has 28 multi-family assets located throughout Texas, Oklahoma, Arizona, Kansas, Nevada, and California.
-Comfort working in a fast-paced environment with a high sense of urgency. If the Purchasing Manager does not meet the requirements of their own role, the asset-level management staff cannot adequately serve our residents.
-Possess excellent time management skills and be comfortable periodically working without direct supervision. The Purchasing Manager will be fielding various communications from GIT assets all day every day, and how successful the Purchasing Manager is in their role will often not be visible until month-end financials are reviewed. As such, the Purchasing Manager will generally need to manage their own performance in-line with the stated job expectations.
-In general, Service calls (such as calls to plumbers, electricians, etc) will be handled by asset-level management and will not be part of the Purchasing Manager’s responsibilities, though there will be times that a need for a service call creates a need for a purchase, at which point the Purchasing Manager will be contacted for assistance.
-Conduct frequent research on pricing in different areas of the country to ensure that GIT is always getting the best pricing possible in local markets, and work closely with both national and local purchasing partners that understand our business and help us meet our goals.
-Identify rebate opportunities whenever possible from all purchasing partners.
-The expectation is 40 hours/week, working as is necessary to ensure company purchasing happens with the necessary urgency and scrutiny to support the daily flow of business and help the Company meet its budgeted goals for expense management.
-Navigate and compare various digital procurement websites and utilize Yardi property management software to analyze pricing and place orders for specific assets. This may include communicating directly with procurement partners from time to time.
-Communicate with executive leadership team on a recurring basis to understand Company goals and objectives for Purchasing, budgets, and daily asset management.
-Communicate on an as-needed basis with Corporate Accounting staff regarding Company financials and budgeted goals.
-Communicate directly with purchasing partners to ensure the Company is always getting the lowest possible pricing for good value. A general hallmark of is that we strive to hit the intersection of value and comfort in the apartments we offer to our residents. Likewise, we need to hit the intersection of value and quality when it comes to managing asset-level purchasing.
-Organization and prioritization are essential elements of this position, one cannot be successful as the Purchasing Manager without being obsessively organized. Likewise, understanding the company’s goals and flow of daily business is essential to knowing which purchases to prioritize for which asset, each day
