The Role
We are seeking an energetic and highly organized Social Events Coordinator to join our dynamic team. You’ll work closely with both club staff and members to curate premium social and athletic events, bringing the MAC community together in meaningful ways. From planning educational programming to executing hybrid events, your expertise will ensure every event is a success from start to finish.This is a full-time, fully on-site role at our club in Portland, OR.What You'll Do
Event & Program Planning: Plan, coordinate, and execute social, athletic, and educational events for all ages, with a focus on creating engaging digital and hybrid-virtual/live experiences. Your tasks will include scheduling, researching, catering, marketing, and billing.
Logistics Coordination: Oversee every aspect of event logistics, from the initial planning stage to the day-of execution. This includes directing and coordinating staff, volunteers, vendors, and service providers while adapting to shifting demands and solving any arising issues.
Community & Education Program Management: Develop, plan, and manage the adult continuing education activity guide. This includes designing course offerings, evaluating curriculum, writing course descriptions, and collaborating with independent contractors for logistical support.
Member & Committee Liaison: Serve as a liaison between club management and members by providing guidance and support to activity and sports committees. You will also represent the club at off-premises events, ensuring that every detail is handled smoothly.
Marketing & Promotion: Oversee pre-event marketing campaigns, which include managing the creation of articles, posters, flyers, and mass mailings. Ensure all promotional materials align with club standards.
Administrative Support: Prepare agendas, meeting notices, and minutes. Process reservations and email confirmations accurately and in a timely manner. Monitor event expenses and revenues, providing reports to managers and committees as requested.
Team Collaboration: Collaborate with other departments to enhance member experiences and contribute to the success of events and activities.
What You'll Bring
Experience & Education: A Bachelor’s degree in event planning, hospitality, marketing, or a related field, or equivalent experience, previous experience planning and hosting inclusive DEI-centric events for diverse age groups and demographics.
Skills & Abilities: Ability to handle multiple tasks in a fast-paced environment, while maintaining attention to detail, excellent organizational and time-management skills, strong verbal and written communication skills, including a keen eye for grammar, spelling, and punctuation, strong interpersonal skills, with the ability to work professionally and tactfully with members, staff/coworkers, and contractors.
Technology & Computer Skills: Proficiency in Microsoft Office and general computer applications.
Physical & Job Requirements: Physical ability to lift up to 5 pounds regularly, bend, twist, and climb stairs as necessary.
Schedule Flexibility: Willingness to work evenings, weekends, and holidays as needed.
