Position Summary

The guest relations associate works as part of a team to provide exceptional customer service at service desks, during events and programs, over the phone, and in online communications. Members of the guest relations team ensure that all visitors are attended to in a timely manner and are given proper instruction that enhances their visit to the Museum, which includes (but is not limited to) answering inquiries, resolving complaints, providing information about programs, services and exhibitions.

This position operates a Point-of-Sale system and is responsible for the safe and accurate handling of cash, credit cards and all forms of payment at the service desk, gift shop and after-hours museum programming. The guest relations associate is expected to work some holidays, evenings, and weekends. The chosen candidate must learn Altru database software, as it is essential to this role.

Essential Functions

  • Delivers excellent customer service during face-to-face, phone and e-mail interactions;
  • Greets the public using an upbeat and friendly delivery, and briefly familiarizes guests with the museum, programs and events;
  • Processes admissions, and any fees for programs, memberships and events through Alru;
  • Cash, check and credit card handling, and accurate accounting of cash registers and drawers in accordance with museum policies;
  • Outlines museum activities, provides overview information about the galleries, and provides directional services as needed (i.e. planetarium, water fountain, restrooms, etc.);
  • Promotes memberships and upsells by providing accurate descriptions of membership benefits;
  • Answers the Museum's telephone lines promptly, answers inquiries courteously, and directs callers to appropriate staff, offices and individuals as needed, following appropriate telephone etiquette and outlined processes, while assisting guests at the desk;
  • Assists in the operation of the museum gift shop as needed;
  • Deescalates situations as needed, resolving guest concerns or complaints in a manner satisfactory to all parties;
  • Stays current with the daily schedule of events, communicates with guest relations staff and relevant internal news sources upon arrival to the Museum;
  • Collects and communicates visitor feedback and follows up on guest interactions where appropriate;
  • Adherence to museum wide and guest relations specific policies and procedures;
  • Assists with clerical duties, which may be performed at the guest relations desk for other museum departments, as assigned by the Director of Operations;
  • Other duties as required as assigned.

Education and Training

  • High school diploma or equivalent education and experience;
  • Must have excellent customer service skills, ability to work in a team environment with minimal supervision;
  • Must have a friendly, upbeat personality;
  • Excellent PC computer skills / Microsoft 365 including Teams;
  • Ability and willingness to learn new computer programs;
  • Ability to understand and maintain data standards.

  • Work well under time constraints and in stressful conditions;
  • Demonstrated organizational and task management skills;
  • Excellent communication skills - verbal and written.

Physical demands

  • Light Work- Exerting up to 20 lbs of force occasionally and/or up to 10 lbs of force frequently, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects;
  • Balancing- Maintaining body equilibrium to prevent falling when walking, standing or crouching on narrow, slippery, or moving surfaces;
  • Carrying- Supporting the weight of an object with hands and arms and moving from one place to another;
  • Climbing- Ascending or descending ladders, stairs, scaffolding, ramps, poles, and the like, using feet and legs and/or hands and arms;
  • Crouching- Bending the body downward and forward by bending legs and spine;
  • Fingering- Picking, pinching, or otherwise working with fingers;
  • Eye-Hand-Foot Coordination- The ability to coordinate hand and/or foot motions with visual stimuli in order to engage in or perform physical activities, such as typing, operating vehicles or mechanical equipment, etc...;
  • Handling- Seizing, holding, grasping, turning, or otherwise working with fingers and/or hands;
  • Hearing- Perceiving the nature, intent, or meaning of sounds;
  • Kneeling- Bending legs at the knee to come to a rest on knee or knees;
  • Lifting- Raising objects from a lower to a higher position or moving objects horizontally from position to position;
  • Pulling- Exerting a force to move an object toward the individual;
  • Pushing- Using upper extremities to press against something with steady force in order to move forward, downward or outward;
  • Reaching- Extending hand(s) and arm(s) in any direction, especially upward in placing or retrieving objects;
  • Sitting- To rest the body upright supported by the buttocks and thighs;
  • Talking- Expressing or exchanging ideas by means of the spoken word;
  • Seeing- The ability to perceive the nature of objects by the eye. The important aspects of vision are:
  • Clarity of vision at 20 inches or less;
  • Clarity of vision at 20 feet or more;
  • The ability to judge distance and space relationships.

Other requirements

  • Will require schedule flexibility, including weekends, evenings and holidays;
  • Will require travel by personal conveyance on property;
  • May require occasional travel off property;
  • Will require occasional evenings and/or outdoor conditions.

Supervision/Contacts

  • Receives supervision from Director of Operations;
  • Daily contact with Museum employees, management, volunteers;
  • Daily contact with visitors and with outside vendors.

Environment

Employee is subject to inside and occasional outside environmental conditions.

Tools and equipment used

Point of sale system, personal computer, fax machine, A/V equipment, telephone system, printers, copier, pricing tools, postage machine, handheld radio, lighting controls. This is not an exhaustive list and only represents the tools most frequently used on a daily basis.
