JOB SUMMARY: The Membership Associate will advance the mission and vision of MCASD by administering and assisting with the strategic plan for the Museum’s Membership program. The position is responsible for providing stewardship to current members and will assist with the growth of the membership and annual giving programs. In addition, the Membership Associate will work closely with the Advancement team and interdepartmentally to research, identify, and engage the Museum’s most promising individual and corporate donor prospects. The ideal candidate is highly organized, detail-oriented, and collaborative.
ESSENTIAL FUNCTIONS:
Administrative
- Administer and assist with all aspects of the membership program, including acquisition, retention, gift processing, database management, renewals, fulfillment, and member servicing to achieve membership goals.
- Provide exemplary customer service via in person and written communications to solicit, renew, answer questions, and register for events.
- Coordinate the membership calendar and appointments as needed.
- Collaborate with the manager and other internal stakeholders to implement processes to gather data about members to facilitate effective communications and programs.
- Identify and research member prospects for major gift cultivation.
- Routinely update member information in the database.
- Process and audit all online membership sales to ensure deposits are correctly made and funds properly allocated.
- Work alongside the Database Manager to reconcile donations and memberships monthly
Marketing & Communications
- With manager, edit content and facilitate sending of member event invitations, member newsletter, and other communications as needed.
- Email, print, and mail renewal letters for member donors.
- Prepare thank you letters, membership cards if applicable, and tax deductibility information for members in a timely manner.
Donor Events & Cultivation
- Assist with cultivation experiences and programs for Art Pass membership.
- With Database Manager, update online ticketing for membership events and programs.
- Actively participate in member programs and events, to include sending well-timed invitations to the membership, tracking RSVPs, staffing registration, and other duties for a successful event.
- Assist with annual fundraising event(s) registration, thank you letters, event follow-up, donor stewardship, and other duties as assigned.
Other
- Additional hours may be required, to include some weekends and/or after regular business hours as needed, to assist with on-site and virtual advancement/membership events.
- Follow policies and procedures to ensure a safe work environment.
- Other duties as assigned.
KNOWLEDGE, SKILLS, AND EXPERIENCE: Results-oriented with excellent organizational and planning skills; entrepreneurial self-starter mindset and team player with energy, enthusiasm, and flexibility; strong negotiation and presentation skills; good analytical skills to assess and report on membership performance; outstanding interpersonal skills with the ability to maintain professional decorum and interact with employees, members, Trustees, and donors; strong technical skills with a proficiency in database management and MS Office. Bachelor’s degree and three years’ recent, relevant membership and/or fundraising experience with one year experience public-facing membership support role or managing and/or administering a membership program or any other equivalent education and experience. Knowledge of and/or experience in contemporary art preferred. Experience with Altru or other Blackbaud database products is a plus.
