What are the responsibilities and job description for the Private Events Associate position at Museum of Flight Foundation?
**This position is scheduled to work Tuesday through Saturday and will need flexibility to work some evenings based on the private event schedule.**
Summary
The Private Events Associate supports the mission of The Museum of Flight by supporting and assisting the logistical and administrative needs of the Private Events Department. This person is also a liaison between Private Events Coordinators and Museum clients via email, phone, and in person during events. It is paramount this person represents The Museum of Flight, its Vision and Mission, with the highest level of professionalism and integrity.
Essential Duties & Responsibilities

- Perform accurate, timely data entry and other administrative functions related to events and groups for the Private Events department, such as preparing confirmation letters, assisting with contracts, creating invoices, and tracking payments. Support sales functions as appropriate.
- Represent the Museum during assigned private events, acting as a liaison between clients, vendors, and internal staff such as security, facilities, audio/visual, volunteer services, and visitor services departments.
- Triage Group Sales and Premium Experiences inquiries, and schedule tours with client and internal stakeholders.
- Maintain, organize, and order material and supplies, adhering to Museum accounting procurement policies and practices.
- Perform other duties as assigned.
Qualifications
Education & Experience
- High School diploma or GED required; two (2) years college experience preferred.
- Two (2) years’ work experience in hospitality, customer service, or administration.
- Experience in planning and execution of various multi-faceted events highly preferred.
- Relevant internal Museum of Flight experience may be considered in lieu of necessary experience.
Knowledge
- Basic knowledge of administrative, reception, or related office environment functions.
- Understanding of event contracts, vendor billing, and/or accounts payable principles preferred.
Skills
- Effective verbal and written communication skills, good follow through, and the ability to resolve issues in a timely and professional manner.
- Demonstrated time management and organizational skills.
- Computer proficiency in Microsoft Office/365.

- Demonstrated strong interpersonal skills, customer service mindset with the ability to work among a diverse population that includes all level of staff, clients, vendors, and volunteers.
- Demonstrated ability to be self-motivated, take initiative, and finish tasks to achieve goals.

- Schedule is set by the supervisor with flexibility for evening and variable hours based on Museum need.

- Ability to move through physical Museum campus spaces required including occasionally outdoors in variable weather.

Paid-Time Off
Our paid time-off plans include 2 weeks of accrued sick leave and 2 weeks of vacation (80 hours each) per year, 10 paid holidays, and 2 floating holidays.
Compensation
The hourly range for this position is $21.50 to $27.00 depending on experience.
