Position Summary
We are seeking an enthusiastic and incisive Human Resources Coordinator for our corporate office in Bellevue (Wilburton area). This role is an exciting opportunity for someone looking to expand their HR knowledge, interests, and subject matter expertise. This is a non-exempt, full-time position, supporting the Company’s HR department. This role will serve as one of the contacts for the department to support department initiatives and projects to include the administration of our HRIS system and various employee programs. The successful candidate must have: strong attention to detail, intellectual curiosity, logical thinking skills, organizational skills and the ability to prioritize tasks, be proactive, collaborative, and accountable, and have tact in communicating effectively with others. We’re a small team and every day looks different. This position will operate within a moderate degree of autonomy and the ideal candidate should be able to be independently accountable. Must be open to grow and deal with some ambiguity. This position will be onsite.
Job Requirements
- Work with the HR Department to ensure the accurate and timely processing of multi-state payroll in accordance with multiple Collective Bargaining Agreements, State & Federal regulations, and Company policies.
- Review the accuracy of all electronic timecard records, correcting any possible errors before approving and processing the bi-weekly payroll. Effectively communicating with Timecard approvers to verify discrepancies or clarify timecard changes.
- Process monthly invoice requests for payment of union dues, benefits, and/or other services associated with Payroll and Human Resources.
- Process weekly, monthly, and quarterly reports to internal departments, outside agencies (when requested), and various firms requiring payroll and time and attendance data.
- Provides recruitment support and assistance as needed throughout the hiring process when requested, including assistance with creating and maintaining job postings, candidate application review, resume screening, and pre-screen interviews. Coordinating with candidates and hiring managers regarding interviews and hiring statuses, as needed.
- Support the employee onboarding process for all new hires, including verifying completion of I-9 and all company policy documentation. Accurate data entry processes for employee profiles.
- Oversee the company's unemployment process, including communicating with multiple states regarding claims and hearings.
- Address minor employment related matters; intake and escalate more serious matters to the HR Director.
- Support HRIS management activities such as data entry and auditing, ad-hoc reporting, data compliance tracking and reporting for the HR Team, Management and external parties.
- Support all existing policies and procedures and participate in the roll out of new HR programs and practices; assist with and/or execute special projects as needed or required.
- Maintain personnel files and payroll records in compliance with state and federal law, as well as other administrative and clerical tasks as assigned. Assist with electronic recordkeeping and digitizing personnel records.

JOB REQUIREMENTS
Qualifications
- Proven experience as an HR Administrative Assistant, HR Assistant, or in a similar administrative role.
- Strong understanding of HR policies, procedures, and practices.
- Excellent organizational and time-management skills with a keen attention to detail.
- Strong communication skills, both written and verbal.
- Self-starter with the initiative to identify areas for process improvement and ability to work successfully in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and HR software (e.g., Paycom, Workday, ADP) a plus.
- Ability to maintain confidentiality and handle sensitive employee information.
- Strong interpersonal skills and the ability to work effectively with employees at all levels.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- A customer service-oriented approach to internal employee support.
Education
- High school diploma or equivalent required.
- A bachelor’s degree in human resources, Business Administration, or a related field is preferred.
Physical Demands
- This position requires long periods of sitting, in front of a computer, in a climate-controlled office environment. Frequently typing on a keyboard, with the ability to type at least 45 WPM. Frequent phone interaction with employees and vendors. This job will require the ability to infrequently lift up to 20 pounds. Reasonable accommodations may be made to suitable candidate.
