The Administrative Coordinator provides high-level administrative and strategic support to the CEO and Senior Management Team, ensuring seamless operations, effective communication, and absolute confidentiality. As a trusted partner and advocate for an inclusive workplace, this role requires sound judgment, discretion, and the ability to manage sensitive information with the highest level of integrity.
KEY RESPONSIBILITIES
- Be a trusted and inclusive partner. Serve as the CEO’s primary liaison, fostering a culture of professionalism, discretion, and confidentiality while engaging with diverse internal and external stakeholders.
- Manage executive priorities. Oversee the CEO’s calendar, coordinate meetings, arrange travel, and facilitate smooth daily operations in a way that respects work-life balance and accessibility needs.
- Safeguard sensitive information. Handle confidential materials, including board communications, executive decisions, and early-stage M&A discussions, with the highest level of discretion and security.
- Streamline board engagement. Prepare and distribute board and committee materials, take comprehensive meeting minutes, track action items, and ensure follow-ups, fostering transparency and accountability.
- Enhance internal communication. Support CEO-led initiatives to align staff with MSCU’s vision, culture, and strategic priorities while ensuring diverse voices are heard and valued.
- Lead event coordination. Organize high-profile events, staff engagement activities, and executive functions while ensuring accessibility and inclusion.
- Drive strategic communication. Draft reports, presentations, and correspondence on behalf of the CEO, ensuring clarity, accuracy, and inclusivity.
- Champion diversity, equity, and inclusion. Support DEI and FIT program communications and initiatives while fostering an equitable and respectful workplace.
- Support community outreach. Partner with Marketing/Retail teams to coordinate pop-ups, SEG visits, and financial literacy events that serve diverse member communities.
- Ensure operational efficiency. Manage office supplies, oversee special projects, and uphold operational excellence with integrity, equity, and accountability.
QUALIFICATIONS
- Bachelor’s degree or equivalent experience.
- 5 years in executive support, business development, or financial services.
- Proven ability to handle highly sensitive and confidential information with integrity and discretion.
- Strong judgment, problem-solving skills, and ability to work independently.
- Exceptional relationship-building and communication skills with all levels of stakeholders.
- Advanced proficiency in Microsoft Office, including Excel.
- High adaptability, professionalism, and a strong work ethic.
