**Job Overview:**
We are seeking a detail-oriented Front Desk administrator to join our team. In this role, you will play a vital part in creating a warm and welcoming environment for our clients. Your responsibilities will include supporting the Admin team and our therapists by scheduling services, managing appointments, answering phone calls, and maintaining a relaxed office atmosphere. The ideal candidate will excel in handling clerical tasks and ensuring the smooth operation of the front office.
**Responsibilities:**
- Maximize provider schedules, greet patients, and ensure all necessary documentation and paperwork is present and up to date to enhance patient experience.
- Professionally answer and manage multiple incoming calls, providing accurate information about company services and policies.
- Schedule patient appointments and monitor/track broken appointments to maintain a full daily schedule.
- Notify clinical staff of schedule changes and greet patients upon arrival.
- Collect co-payments and ensure accurate financial transactions at check-out, maintaining the cleanliness of the front desk area and reception area.
- Verify and process insurance information while troubleshooting any issues.
- Collaborate with the practice owner to implement new office systems and policies.
- Work closely with administrative and clinical staff to ensure efficient office operations while maintaining confidentiality and adhering to state, federal, and HIPAA laws and patient records guidelines.
- Possessing customer service skills and experience with Therapy Notes software is a plus.
- Experience in insurance verification, submission, and payment entries.
- Punctuality, reliability, and prior experience in a Mental Health environment are preferred.
**Work Schedule:**
- **Monday:** 2:15 PM - 7:15 PM
- **Thursday:** 8:45 AM - 1:45 PM
- **Friday:** 8:45 AM - 1:45 PM
- Additionally, there is the opportunity for up to 10 hybrid hours as needed to support your role effectively.
