General Summary:
Office assistant is a member of the BH MVHC team who works cooperatively with all MVHC service lines and other referral services to assist in day to day operations of the BH service line. OA schedules new patients referred and manages ongoing behavioral health patients. Assures that payer sources such as Medicaid, Medicare, BWC and commercial insurances are up to date. Communicates and coordinates billing issues with MVHC Billing Department. Provides quality customer service representing MVHC in a positive manner at all times.
Minimum Qualifications:
• Minimum of 2-year degree in related field preferred.
• Minimum of 2 years’ experience in healthcare setting preferred.
• Excellent communication skills and team oriented.
• Customer service experience required.
• Experience with Microsoft Office and EPIC experience preferred.
Working Condition:
• Lifting up to 50 lbs. with or without an accommodation.
• Carry up to 20 lbs. occasionally.
• Standing 1-2 hours at a time.
• Walking approx. 30 minutes per hour throughout the day.
• Withstanding pressure and deals with emergency situations as needed.
• Average working hours with possible non-traditional hours.
• Potential for exposure to blood and body fluids.
• Ability to deal with disgruntled patients in order to deescalate the situation.
Specific Duties and Responsibilities:
• Works with CCC and other MVHC service lines to coordinate schedule for new and ongoing patients referred to Behavioral Health department.
• Obtains precertification and recertification from insurance companies including Medicaid, BWC and commercial insurance.
• Documents communication with insurance companies and information in EMR in time frame established by MVHC policy.
• Maintains timely communication with billing department to ensure accurate insurance information is provided and assists billing department with providing documentation as requested.
• Maintains BWC logbook and gets C9’s sent to MCO’s prior to approval date needed.
• Discharges patient and schedules next appointment for psychiatrist and schedules for counselor as necessary.
• Document all contact related to patients’ care in EHR.
• Assists in completion of letters, faxing documents, and obtaining outside information as needed.
• Displays a respectful, caring attitude toward patients at all times.
• Reports all necessary information and/or unusual occurrences in accordance with established policies and procedures and notifies Director of BH of unusual occurrences as they develop.
• Completes incident reports immediately in all required situations.
• Communicates significant clinical information to other health care professionals as necessary.
• Routes calls to appropriate staff in all service lines.
• Maintain current CPR certification and First Aid according to MVHC policy.
• Maintains patient confidentiality.
• Completes dictation for psychiatrist as needed.
• Completes insurance, attorney, disability, social security paperwork, and medical record releases in timely fashion.
• Manage hospital release appointments and schedules discharges within 7 days of inpatient stay.
• Works cooperatively with community organizations to manage patient appointment needs.
• Informs supervisor of BH department needs.
• Make phone calls to appropriate agencies for patients to and from appointments as needed.
• Completes time sheets for doctor time.
• Prep meds for CMA and doctor if requested.
• Sample logging and prep for patients as assigned by doctor.
• Uses time wisely and meets requested deadlines by supervisor.
• Actively participates in reaching MVHC’s outcomes on scorecard for BH department.
• Works toward MVHC mission and vision.
• Shows willingness to work as a team in service line and with all MVHC service lines.
• Promotes MVHC in positive manner to patients, staff and outside organizations.
• Attends work as scheduled.
• Provides positive customer service and works to improve patient experience.
• Participates in staff meetings as scheduled.
