Job Summary
A contract administrator is responsible for drafting, reviewing, negotiating, and managing contracts on behalf of a company, ensuring legal compliance, accuracy, and adherence to contract terms by all parties involved, including vendors, clients, and internal departments; their primary duties involve evaluating potential risks, negotiating contract terms, and monitoring contract performance throughout the lifecycle to mitigate issues and protect the company's interests.
Essential Duties and Responsibilities:
- Contract drafting and editing: Preparing initial contract documents, including terms and conditions, based on company policies and legal requirements with an emphasis on trucking and transportation to include carrier agreements, broker agreements, interchange agreements, drop yard agreements and other agreements or documents related to trucking and transportation.
- Negotiation: Discussing and finalizing contract details with relevant parties to reach mutually agreeable terms.
- Contract review and analysis: Thoroughly examining contracts for accuracy, clarity, and potential legal risks.
- Compliance monitoring: Tracking contract performance to ensure all parties are fulfilling their obligations as outlined in the agreement.
- Contract management system upkeep: Maintaining a centralized database of all contracts and relevant documentation
- Stakeholder communication: Collaborating with internal departments like legal, sales, and finance to address contract-related issues.
- Dispute resolution: Facilitating communication and attempting to resolve any contract-related disputes that may arise.
- Vendor management: Overseeing contracts with external vendors and suppliers.
- Contract renewal process: Managing the renewal or renegotiation of expiring contracts.
Required Qualifications:
- Minimum 3 years of experience as a contract administration or related role
- Bachelor’s degree in business administration; additional qualifications in law a plus
- Legal knowledge: Understanding of contract law, legal terminology, and compliance regulations
- Negotiation skills: Ability to effectively negotiate contract terms and conditions to achieve beneficial outcomes
- Analytical skills: Analyzing contract details to identify potential risks and areas for improvement
- Attention to detail: Ensuring accuracy and thoroughness in reviewing and drafting contracts
- Communication skills: Clearly communicating contract terms and conditions to all parties involved
- Organizational skills: Managing a large volume of contracts and associated paperwork efficiently
