Who We Want
My Possibilities is creating a new position focused on three primary responsibilities: 1) support the MP Executive Team with administrative projects and scheduling tasks, 2) liaison with the Board of Directors for scheduling of all board and committee meetings, and take minutes at all Board and Committee meetings, and 3) staff the Main Entrance of MP and manage in-flows of visitors and volunteers during working hours, and partnering with the Campus Life Manager to ensure appropriate orientation and training for volunteers that may be staffing the front desk on an ongoing basis.
The Executive Assistant/Board Liaison will work 20 hours per week. The normal work schedule will be 8:00am to noon Monday thru Friday, but will frequently be flexed to accommodate Board and Committee meeting schedules as needed.

The position supports high-level work and thought at My Possibilities. The Executive Assistant attends Executive and Board meetings on a regular basis. Maintaining confidentiality in all matters is expected. The Executive Assistant interacts with the entire organization on a daily basis and will be a key contributor to building a welcoming and inclusive environment for team members, board members, and volunteers.
Essential Functions
- Works with My Possibilities Executive Team (MPET) members on general administrative tasks and scheduling. MPET includes the Chief Executive Officer, Chief Financial Officer, Chief Programs Officer, Chief Development Officer, and Chief Human Resources Officer.
- Works closely with the Board of Directors Chair and Secretary on all board meeting and committee meeting scheduling, agendas, and accurately capturing meeting minutes at each meeting.
- In partnership with the MP Volunteer Manager, leads coordination and scheduling of volunteer supports for the Front Entrance Desk.
Minimum Qualifications
- College Degree from an accredited institution
- Prior experience in executive support and/or administration
- Technologically proficient with Microsoft Outlook email and scheduling
- Current driver’s license, acceptable driving record and valid car insurance required
Preferred Qualifications
- Excellent attention to detail
- Able to present themselves professionally to key volunteers, staff, and visitors on a daily basis
- Commitment to task, follow-through, and delivering on deadline a must
Working Conditions
The position will be sitting at the front entrance desk of the organization for much of the day. No excessive heavy lifting or standing is required.
