Position Summary:
Join a dynamic HR team where you’ll play a key role in streamlining operations, ensuring compliance, and enhancing the employee experience. We’re looking for an HR Operations Manager who thrives in a fast-paced environment and is passionate about payroll, HRIS management, compliance, and strategic HR initiatives.You will be detail-oriented and organized as you work collaboratively with internal teams and service providers to ensure accurate and efficient HR Operations.
What You’ll Do:
Payroll Administration
- Partner with a third-party payroll administrator to oversee biweekly and monthly payroll processing.
- Ensure timely and accurate submission of payroll changes, including new hires, promotions, transfers, relocations, and terminations.
- Manage expatriate payroll processing, working with HQ in Japan and external CPA firms on income tax and payroll adjustments.
HRIS & Data Management
- Serve as the primary administrator for ADP Workforce Now—ensuring data integrity and system efficiency.
- Oversee timesheet approvals and ensure seamless payroll processing.
- Train employees on HRIS functionalities, including timekeeping and self-service options.
- Act as a liaison between the company and the third-party payroll provider.
Compliance & Reporting
- Ensure compliance with federal and state employment regulations, including maintaining accurate employee I-9 records.
- Monitor and validate 401(k) contributions and funding.
- Assist in preparing ACA, EEO-1, OSHA, and other federally/state-required reports.
- Prepare and maintain HR reports, including vacation accruals, bonus tracking, and financial reporting for audits and policy renewals.
Strategic HR Initiatives & Special Projects
- Support HR leadership in process improvement initiatives to enhance operational efficiency and compliance.
- Oversee payroll-related tax and fringe benefit administration for company programs.
- Lead or assist with ad hoc HR projects to support strategic company objectives.
HR Support & Employee Relations
- Assist in employee relations matters, including conflict resolution and workplace investigations.
- Provide recruitment support, including interview coordination and onboarding facilitation.
- Support performance management processes, including goal setting, performance reviews, and feedback initiatives.
- Contribute to employee engagement and workplace culture programs.
Confidentiality & Compliance
- Maintain strict confidentiality of employee records and sensitive information.
- Adhere to company policies and best practices for information security.
- Proactively report any compliance concerns to management.
What You Bring:
✔ Bachelor’s degree in Human Resources, Business Administration, or a related field (preferred).
✔ 5 years of HR experience with a strong background in payroll and benefits administration.
✔ Proficiency in ADP Workforce Now or similar HRIS platforms.
✔ Strong knowledge of payroll regulations, employment laws, and HR compliance.
✔ Excellent organizational skills and attention to detail.
✔ Ability to handle sensitive information with a high level of confidentiality.
✔ Strong communication and interpersonal skills.
✔ Microsoft Office Suite proficiency (Excel, Word, Outlook, etc.).
✔ Experience working with expatriate employees and knowledge of visa processes is a plus.
