Position Overview
The Assistant Property Manager supports the Property Manager in ensuring daily operations run smoothly, properties are well-maintained, and tenants are satisfied. Key areas of focus include administrative management, tenant relations, vendor coordination, and financial oversight, with an emphasis on excellent customer service and operational efficiency.
Key Responsibilities:
Administrative Management
- Maintain accurate property files, leases, contracts, and compliance documentation.
- Coordinate maintenance, repairs, and renovations to uphold Class A property standards.
- Oversee building systems, manage contractors, and distribute reports and correspondence.
Tenant Relations
- Address tenant inquiries and concerns promptly.
- Communicate building updates, events, and service impacts.
- Build and maintain strong tenant relationships to enhance satisfaction.
Vendor and Maintenance Coordination
- Assist with routine and emergency maintenance coordination.
- Monitor vendor performance and ensure contract compliance.
- Schedule property inspections and oversee repair activities.
Financial Administration
- Support monthly financial reporting and variance analysis.
- Monitor accounts receivable and assist with collections.
- Aid in annual budgeting and operating expense reconciliations.
Operations and Projects
- Collaborate on property management strategies and special projects, including capital improvements.
- Ensure compliance with leases, regulations, and building codes.
