Job Overview
We are seeking a motivated and organized Receptionist/Administrative Assistant to join our team. This role is essential for ensuring smooth office operations and providing excellent customer service. The ideal candidate will be proficient in managing phone systems, handling administrative tasks, and maintaining a welcoming environment for clients and visitors.

Duties

  • Greet clients and visitors warmly, providing a positive first impression of the organization.
  • Manage incoming calls using professional phone etiquette, directing calls to the appropriate personnel.
  • Direct customers to the appropriate person
  • Maintain office organization by filing documents accurately and efficiently, ensuring easy retrieval of information.
  • Utilize Mangomint POS software to assist with scheduling appointments, managing calendars, and preparing documents.
  • Support team members with administrative tasks as needed, acting as a personal assistant when required.
  • Demonstrate strong time management skills to prioritize tasks effectively in a fast-paced environment.
  • Ensure the reception area is tidy and presentable at all times, creating a welcoming atmosphere for guests.
  • Assist with basic bookkeeping or invoicing duties as necessary.

Qualifications

  • Bilingual proficiency is a plus, enhancing communication with diverse clientele.
  • Strong computer literacy with experience in office software and phone systems.
  • Excellent organizational skills with an ability to manage multiple tasks simultaneously.
  • Proven time management abilities to meet deadlines and support team efficiency.
  • Previous experience in an administrative role or as a receptionist is preferred but not required.
  • A friendly demeanor and professional appearance are essential for this client-facing position.

- Bilingual in [Spanish ] is a plus
