This is a critical role that will be responsible for accurate and timely reporting of financial statements; handling US corporate and sales tax matters; monitoring internal controls; and maintaining the general ledger. Responsibility also includes serving as the liaison between internal and external auditors with the company.
We are seeking a highly organized and motivated individual to serve as our Office Manager & Executive Assistant reporting to CEO. In this dual role, you will be responsible for ensuring the smooth day-to-day operations of our office while providing dedicated administrative support to the CEO. The ideal candidate is a proactive problem-solver with exceptional communication skills and a strong ability to multitask.
Essential Responsibilities:
Office Management:
- Manage all aspects of office administration, including ordering supplies, maintaining equipment, internal office phone system and coordinating vendors (e.g., cleaning etc.).
- Will serve as Liaison with building management on issues related to elevator, plumbing, lighting, heating etc.
- Oversee and organize office space, ensuring a clean, efficient, and welcoming environment.
- Greet visitors at front desk and notifying host on arrival
- Handle incoming and outgoing mail and deliveries including bill payments
- Manage office budget and track expenses.
- Manage all travel arrangement for Staff & home leave for their families including hotel/airline/transport reservations
- Assist with the planning and coordination of company events and meetings.
- Implement and maintain office policies and procedures.
- Support in onboarding of new employees
CEO – Executive Assistant:
- Provide comprehensive administrative support to the CEO, including managing calendars, scheduling appointments, and coordinating travel arrangements.
- Prepare presentations, reports, and correspondence on behalf of the CEO.
- Assist with errands or tasks for the CEO and visiting board members as required.
- Act as a liaison between the CEO and internal/external stakeholders.
- Maintain confidentiality and discretion in all matters.
Qualifications:
- Proven experience as an Office Manager, Administrative Assistant, or similar role (3 years).
- Experience supporting C-level executives is highly preferred.
- Strong organizational and time management skills with the ability to prioritize effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- High school diploma required; Associate's or Bachelor's degree preferred
Salary : $60,000 - $65,000
