Position Summary

Position Summary

Essential Duties and Responsibilities % of Time Essential Duties 70% Administrative Assistant:
- Facilitates the principal evaluation process: sets calendar for meetings, takes notes, files write-ups, proof reads write-ups.
- Researches topics for the purpose of providing information and or recommendations that address a variety of administrative requirements.
- Responds to inquiries from internal and external parties, including parents and school personnel, for the purpose of providing information, facilitating communication among parties and/ or providing direction.
- Supports the Alternate Attendance request process.
- Performs other functions or related duties as assigned for the purpose of ensuring the efficient and effective functioning of their work.
- Organizes and monitors activities on behalf of the Assistant Superintendents including schedules and appointments
- Participates in meetings, workshops and or trainings for the purpose of providing or receiving information, recording minutes and supporting the needs of the attendees.
- Serves as Administrative Assistant to Superintendent and Deputy Superintendent in the absence of their regularly assigned Administrative Assistant, including occasional attendance at monthly Board of Education meetings.
- Discipline hearing planning and production. Prepares all the reports before the meeting. Initiates the call to the parents. Develops post hearing communication of results.
- Coordinates projects, functions and/or program components for the purpose of completing activities and/or delivering services in a timely fashion.
- Maintains manual and electronic documents, files and records for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
- Prepares reports, documents and correspondence of a confidential and non-confidential nature for the purpose of documenting activities, providing written reference and or conveying information (e.g. including but not limited to: monthly enrollment reports, discipline hearings and correspondence, appropriate departments regarding freedom of information requests).
- Associate or college degree preferred.
- Minimum five years in an administrative assistant position for a principal in NCUSD 203, preferred.
- Experience managing highly confidential information. Ability to maintain a high level and standard of confidentiality.
- Previous experience in a public facing position preferred. Ability to communicate appropriately with the public regarding school district matters. Experience managing volatile external communications.
- Demonstrated ability to handle sensitive situations with confidentiality and professionalism
- Demonstrated ability to use Microsoft Office tools.
Decision-Making Responsibility
- Administers policies and procedures set by the District.
- Ability to prioritize work and shift priorities when needed.
