What are the responsibilities and job description for the Document Control Specialist position at Naprotek, LLC?
Job Purpose:
Perform Document Control activities such as entering Bills of Material, Job Ticket information and ECOs in the Manex computerized system. Verify and compare component and manufacture data sheets, as needed. Maintain the flow of both electronic and hard-copied controlled documents, department files, resource materials and media. Distribute customer documents to all areas of Production, Engineering, Inside Sales, Program Managers, Purchasing, and Quality interacting professionally with all groups working in a team environment.
Duties and responsibilities:
- Perform a thorough inspection of Documents submitted by Customers, Program Managers, Inside Sales, Engineering, Quality, and other personnel.
- Clarify issues prior to making copies and distribution of the product folders.
- Interface professionally with Production, Inside Sales, Engineering, PM’s, Quality, and others in a collaborative spirit.
- Prepare folders for all areas of production, maintaining one original, master folder in Document Control.
- Stamp all required documentation with, the Approval date of receipt stamp and/or the Controlled copy date stamp, to assure that all documents dispensed are controlled by Document Control and are identical to the original, master folder. Remove old or down rev. documents from the production folders and put them in archive. The original folder will have the master set of all down revision documents.
- Professionally interface with Production and Engineering.
- Track all revisions of documents, log jobs and any documents distributed to any area in the company.
- Report concerns or discrepancies to the manager.
- Enter Bills of material (BOM), Specifications, new parts in the computerized Manex system per procedure, to ensure the quality of documentation used throughout Naprotek and to insure that Purchasing, Kitting and Stockroom areas can rely on an accurate database for Turn-Key material.
- Maintain filing systems of all documents. Work with minimum supervision.
Qualifications:
- Must read, write, and understand English, understand verbal and written instructions. Communication and analytical skills; familiar with data entry, documentation & procedures. Component recognition (types & values) a plus.
- Computer literate with use and knowledge of Microsoft Office programs.
- Capable of creating logs, flowcharts using Visio and the knowledge and ability to use copy and fax machines.
- Must be able to recognize documentation problems.
- Must have knowledge of effective planning and organizational skills, with the ability to work with a high degree of accuracy and recall daily.
- Must be able to read, interpret and understand customer documentation and Naprotek procedures.
- Experience in the use of Microsoft Word and Excel programs.
- Able to work overtime, when required.
- Work with minimum supervision.
- Perform other duties as assigned.
Additional Knowledge and Related Experience Requirements:
Requires 3 - 5 plus years in electronics or other assembly related company as a document
control specialist. Proficient computer skills. Knowledge of departmental policies, procedures,
standards and paperwork flow.
Knowledge of ISO 9001, AS9100 or ISO 13485 is a plus.
Acquired job skills and knowledge of company policies and procedures.
