THE POSITION:


Reporting to the Chief Business Development & Marketing Officer, the CRM Administrator will be responsible for ensuring data integrity, security, and compliance across our global CRM systems.


WHAT THE JOB ENTAILS:

    General Administration
    •    Oversee the daily operations of the CRM systems, ensuring data integrity, global consistency, and system functionality while acting as the primary internal liaison between different business segments (Operations, Finance, Legal, Marketing, and Investigations).
    •    Work alongside global operations to support in the adding of new data entry into, and cleanup of old data from the system (including client and vendor contact information) and appropriate segmentation/ tagging of data.
    •    Develop and maintain best practice documentation for system processes and procedures.
    •    Ensure that the firm complies with Global and Local laws regarding data retention, recruitment processes and marketing communications (working alongside Marketing, Legal, Operations and HR).
    •    Manage, maintain, and optimize the CRM system to enhance the function across the global firm.
    •    Collaborate with the internal teams to support the implementation of targeted marketing campaigns based on CRM data.
    •    Ensure data integrity, security, and compliance with relevant regulations.
    •    Develop and execute processes for the entry and refresh of data from disparate sources with a keen eye towards automation.
    •    Manage user accounts, permissions, and access controls.
    •    Provide training and support to staff on system use and best practices.
    •    Special projects.

     

    Data Analysis and Reporting
    •    Analyze data to identify trends, insights, and opportunities for improvement of the CRM system and how it is used to meet the firm’s objectives.
    •    Develop and maintain dashboards and reports to support business decision-making related goals.
    •    Provide actionable recommendations based on data analysis.
    •    Work in unison with the technology and finance team to develop stringent testing protocols and data validation methods and ensure that SalesForce is accurate.

     

    Process Optimization
    •    Collaborate with cross-functional teams to streamline and optimize CRM-related processes.
    •    Implement best practices for data management and prospect engagement.
    •    Lead initiatives to improve CRM system functionality and user experience.
    Project Management
    •    Lead and coordinate projects related to CRM data initiatives, encompassing all phases from planning through implementation – including but not limited to being the lead liaison person for Cirrom related projects and day to day implementation.
    •    Develop project plans, timelines, and deliverables, ensuring projects stay on track and within scope.
    •    Communicate project progress and updates to stakeholders regularly ensuring alignment with institutional goals.
    •    Identify and mitigate project risks, ensuring successful project completion.

     

    YOUR BACKGROUND:
    Required: 
    •    A minimum of three years of experience in CRM administration.
    •    Proficiency in Salesforce CRM software, .
    •    Willingness to learn about, and help test, new data management tools that may require cross functionality with existing CRM system.
    •    Excellent written and verbal communication, interpersonal and skills, with the ability to work collaboratively across departments and global offices.
    •    Ability to work independently and as part of a team.
    •    Highly organized; strong time management skills.
    •    Detail oriented.
    •    Project management skills.
    •    Knowledge of GDPR and other data related laws and regulations.
    •    Experience working with senior stakeholders.

     

    Preferred:
    •    Proficiency in Cirrom and Tableau.
    •    Familiarity with the legal/investigations sector preferred.
     
    EDUCATION AND EXPERIENCE
    •    College degree preferred.
    •    2-4 years of experience in a professional services firm

    •   In office minimum Tuesday, Wednesday, and Thursday
