JOB DESCRIPTION: Student Information Data Manager/Treasurer
REPORTS TO: School Principal
SALARY: State Salary Schedule, based on relative experience, district specifications, and verification of employment history

NATURE OF WORK:
DATA MANAGER
The employee performs a variety of technical and software support functions for the student information system, INFINITE CAMPUS. Work involves operation of computers, printers, and other peripheral equipment. The position requires a thorough knowledge of current student accounting procedures and regulations, and the ability to accurately enter and maintain data from source documents. In addition, the employee should have the capacity to effectively generate, analyze and report data, and have sound operational knowledge of the overall functionality of INFINITE CAMPUS. The Student Information Data Manager is responsible for the enrollment/registration of all students attending the assigned school. This involves working directly with parents/guardians to secure required enrollment documentation, as well as connecting the student to educational resources. The employee works under general supervision where goals are provided and the employee, within established guidelines and procedures, accomplishes them. The ability to communicate effectively with a wide variety of groups including students, teachers, school administrators, counselors, central office staff, parents, and local governmental agencies is required.
TREASURER
An employee in this position is responsible for keeping a complete record of all monies in his/her charge for a relatively small number of accounts through computerized or one-write accounting systems. The employee is also responsible for secretarial responsibilities such as typing, operating office equipment, screening mail, and coordinating substitute services. This employee often performs the duties of a receptionist at the school. Additionally, this employee is responsible for the accurate and timely reporting of payroll data for all employees at the school. The employee is evaluated through observations, work performed, and conferences with the Principal or his/her designee.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
DATA MANAGER
- Serves as the INFINITE CAMPUS system expert for the assigned school by entering, summarizing, analyzing, and reviewing data for accuracy to produce standard, custom and confidential reports for the assigned school principal and LEA administrators.
- Administers all INFINITE CAMPUS User Security for assigned school, coordinating with district personnel to ensure legal user acceptance protocols. This involves expert use of the NCEDCloud system to manage users and passwords for students and staff.
- Use of the NC Student Identification System (CEDARS) to verify students and/or create student UIDs.
- Using INFINITE CAMPUS, manages, generates, and distributes student demographic, scheduling, academic progress, Testing and disciplinary incidents data. Uses the Educators Handbook software application for input, imports, reports creation and distribution of student discipline data. Also, other student or staff data as mandated by the state or school district.
- Responsible for the initial enrollment process for all students of the assigned school. This includes overseeing both electronic and manual (paper) enrollment processes, managing all aspects of kiosks use— technical (hardware), parent/guardian accessibility, technical support, etc. Manages specified follow-up processes and resources relating to enrollment/registration, including Residency Affidavits.
- Maintains records of student withdrawal from school, record of reasons for student withdrawal and students’ planned destination. Prepares periodic statistical enrollment/withdrawal reports.
- Facilitates transfer of student information between schools, including Records Requests and Records Received, works, as a team, with counseling staff or other designated staff to ensure that student cumulative folders are accurately maintained. Transfer of records may require use of the Scribbles system to digitally transfer records between districts.
- Accesses the Internet to review and/or download student information-related documents for operational use of INFINITE CAMPUS or state guidelines, policies and procedures.
- Provides information, training documents and/or training to school staff on the use of INFINITE CAMPUS and application of data produced from the system.
- Coordinates and oversees distribution of Parent Portal login information and responsible for quality assurance of parent User IDs and passwords.
- Works with a variety of departments to accurately input, maintain, reconcile and report data to school system business owners.
- Assures coordination of both verbal and written information to district employees and Notary Services, as requested.
- Completes special projects, as assigned. These projects should not interfere or conflict with the aforementioned essential duties and responsibilities.
TREASURER
- Answers telephone and greets visitors; directs calls and/or visitors. Screens mail and routes to appropriate personnel. Operates a variety of office machines. Types and files as needed.
- Maintains a current listing of substitutes and makes necessary contact to provide substitutes as needed.
- Issues written receipts for funds received and properly records these receipts to the correct school accounts. Maintains a school purchase order system.
- Prepares checks for the disbursement of funds for the Principal's signature and charges the expenditures to the correct school accounts. Reconciles bank account monthly. Prepares adjusting journal entries as needed
- Prepares a monthly statement of receipts and expenditures (Form L-4) showing amounts of all monthly and year-to-date receipts and expenditures for all school accounts. Prepares analyses of individual school accounts or transactions. Maintains an accounts payable system. Reports school employee absences to payroll department. Identifies paid invoices by a systematic filing system Maintains system of filed school purchase orders to document paid invoices. Performs related duties as assigned by the Superintendent or his/her designee.
KNOWLEDGE, SKILLS AND ABILITIES:
DATA MANAGER
- General knowledge of computers, computer commands, peripherals, and various operating systems
- Ability to work with a high degree of accuracy
- Knowledge of attendance regulations and student accounting procedures, as outlined in the N.C. School Attendance and Student Accounting Manual
- Sound knowledge of district enrollment practices and procedures
- Considerable knowledge of data management, policies and procedures
- Considerable knowledge of word processing software, spreadsheets, databases, and any custom district electronic systems
- Ability to troubleshoot hardware and software problems and/or direct to the appropriate resource
- Ability to apply independent judgment in correcting data errors or omissions
- Ability to exercise a high degree of confidentiality regarding student information in accordance with federal privacy laws, and any additional standards required by the state or local school district
- Ability to communicate well, verbally and in written form, with school personnel, parents, students, central office staff and outside entities, including local judicial or governmental agencies.
TREASURER
- Considerable knowledge of payroll software with the latest computer terminal skills.
- Considerable knowledge of the latest payroll regulations consistent with federal, state and local requirements.
- Ability to communicate with all employees.
- Ability to determine priorities in order to complete payrolls.
- Ability to be flexible when payroll preparation circumstances require alternative actions.
SUGGESTED TRAINING AND EXPERIENCE:
All candidates for this position must have a minimum of each of the following requirements:
- High School Graduate
- Two years of experience as a POWERSCHOOL or INFINITE CAMPUS Data Manager or other relative work experience, directly related to a computer system which requires knowledge of entering, editing and finalizing source data
- Graduation from a two-year college with a business degree preferred or a minimum of at least two years experience in a business office preferably in processing.
- Preference given to experience in School Business.

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee frequently is required to walk and use fingers, tools, or controls. The employee is occasionally required to stand and reach with hands and arms. Specific visual abilities required by this job include close vision, color vision, and depth perception. Occasionally the employee will lift up to 50 lbs. such as to lift files and paper.
TREASURER
Must be able to physically perform the basic life operational functions of stooping, kneeling, crouching, reaching, standing, walking, fingering, grasping, talking, hearing and repetitive motion.
- Must be able to perform sedentary work exerting up to 20 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
- Must possess the visual acuity to prepare and use figures, to operate a computer terminal and other office equipment and to do extensive reading.
WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually quiet. The employee continuously interacts with the public and staff.
EVALUATION: Performance in this position will be evaluated regularly by the school principal, with input from the Director of Student Information in accordance with Board Policy.
