Assistant Director of Donor Relations and Volunteer Services
Summary
Reports to: Director of Donor Relations and Volunteer Services
Status: Full-Time; Exempt
The Assistant Director of Donor Relations and Volunteer Services plays a key support role in enhancing donor and volunteer experiences at the Nashville Symphony. This position assists with the Governing Members and Crescendo Club programs. Responsibilities also include coordinating communications for donor relations programs, event planning, and benefits fulfillment for annual donors, as well as recruiting, training, and scheduling volunteers. The Assistant Director also maintains the volunteer database, tracks service hours, and supports engagement initiatives such as tours, recognition events, and training materials.
Primary Duties and Responsibilities:
Donor Relations
- Serves as the staff liaison and leader of the Crescendo Club program – with main duties in the following areas:
- Service – managing general inquiries from current and prospective Crescendo Club members; handles ticket requests from current Crescendo Club members
- Renewal – in conjunction with Sr. Director of Development and Associate Board, ensuring lapsing/lapsed donors are identified and encouraged to renew their membership
- Social – working with the Sr. Director of Development and Associate Board to design and manage a calendar of events which fosters a sense of community in the Crescendo Club
- Communication – creates and sends monthly newsletters, event communications and reminders, etc. to Crescendo Club members, in coordination with Director of Development Communications and Operations
- Coordinates the Founders Hall experience for Governing Members:
- Creates Founders Hall Access lists when open for night of concert and create lists for Beverage Dept. for VIP names around the SSC when Founders Hall is closed
- Sends weekly VIP Valet list to PMC Parking, along with updates
- Coordinates Governing Members and Founders Hall lists along with Development Officers for temporary access and GM status or changes
- Serves as liaison for Founders Hall catering
- Serves as direct contact/customer service for Patrons in current portfolio to manage season tickets, upgrades and exchanges
- Assists the Director of Events with event-related tasks including, but not limited to, budget tracking, list management, and event RSVPs
- Assists the Director of Donor Relations and Volunteer Services with the fulfillment of corporate sponsorship packages
Stewardship
- Supports the Director of Donor Relations and Volunteer Services in the donor acknowledgment process, donor packets and benefits fulfillment for annual donors.
- Ensures that details of the stewardship program are well-documented, communicated to all involved parties, and incorporated into moves management tracking within the Tessitura database.
- Assists in creating a set of statistics or reports for analysis of stewardship efforts.
- In partnership with department leaders, supports the planning, scheduling, invitations, and some logistics for donor engagement and cultivation events as needed, such as open dress rehearsals for patrons, special Founders Hall receptions, meet and greets, and volunteer/chorus/staff donor thank you events.
- Works with other members of the Development team to fulfill stewardship strategies that strengthen long-term relationships with donors.
Volunteer Services
- Supports the Director of Donor Relations and Volunteer Services with volunteer recruitment, retention, training and scheduling
- Supports the Director of Donor Relations and Volunteer Services with volunteer engagement and events, including the annual volunteer recognition and awards event
- Creates and updates online and classroom volunteer training materials as needed
- Responsible for scheduling all Schermerhorn Symphony Center tours
- Maintains volunteer database and tracks volunteer service hours for grant requests, Board reports and the Volunteer Recognition program
- Helps to create, distribute and analyze the annual volunteer engagement survey
- Edits and contributes content to Keynotes, the monthly volunteer newsletter, in conjunction with the Director of Development Communications and Operations
- Supports the Schermerhorn Symphony Center Docent program with scheduling
- Assumes responsibility for special projects or other activities as directed by the Director of Donor Relations and Volunteer Services, Sr. Director of Development and Chief Development Officer.

Qualifications
Work Requirements and Qualifications
- Bachelor’s degree
- Previous volunteer management experience preferred
- Previous development experience or equivalent combination of inside sales/customer service experience preferred
- Excellent written and verbal communications skills
- Possess an understanding of individual donor needs and perceptions
- Knowledge of donor databases and prospect tracking systems
- Outstanding capacities for personal presentation, organization, self-motivation, accuracy, follow-through, timeliness, consistency, great attention to detail, and the ability to handle a multitude of tasks under deadline pressure
- Ability to work independently and use independent judgment while keeping supervisor informed of work activity and issues
- Ability to work as a team member with a positive, helpful attitude in developing creative response and solutions to needs and issues
- Ability to effectively interact with all levels of staff, volunteers, donors and prospects
- Ability to handle confidential information with appreciation for the importance of protection of the privacy of donors and prospects is vital
- Ability to work flexible hours depending on operational needs of the organization
