Position Summary:
The Finance Operations Specialist will serve as the Finance Department’s liaison for all payment, billing and collections-related activities within a designated region (flyway) as part of the business support team. They will be responsible for coordinating and performing all AP/AR activities related to their flyway; reconciling and analyzing related financial information; and acting as an advisor of the Finance Department by providing guidance and support to field managers and employees.

Essential Functions
Responsible for managing the day-to-day transactional relationship between Finance and the business and financial managers in assigned region.
Reviews invoices submitted by the field for accuracy, appropriate coding and contract compliance. Also, ensure all approvals are in place, and adherence to relevant policies.
Manage payments and bill payment schedules (EFT, ACH, wire and check) to ensure payments are made on a timely basis, while capturing any discounts available to Audubon.
Monitors and manages fraud protection tools such as ACH blocks and positive pay.
Maintains vendor files and relationship on new cloud-based payment systems.
Ensures proper filing and maintenance of financial information. Maintains organization records in compliance with established policies and regulatory guidelines.
Setup and monitor recurring rents and utilities payment.
Responsible for the technical training of non-finance staff and outside parties regarding procedural requirements for processing transactions; provides direction and referrals as necessary.
Collects and processes deposits and monthly field depository reports; posts cash and invoice entries to the general ledger.
Records all Field local bank account payments on the General Ledger and processes reimbursement requests.
Helps field office reconcile their local bank account when requested.
Performs employees expense audit quarterly.
Monthly reconciliation of operating account outstanding checks.
Maintain purchasing card program – distribution of new cards, etc.
Collaborate with Audubon staff to ensure that equity, diversity, inclusion and belonging principles are incorporated and followed in all aspects of our work.
Qualifications and Experience:
Associate Degree in Accounting, or 5 years of experience in accounts payable and receivable management. An equivalent combination of education and work experience will also be considered.
Ability to multi-task while maintaining accuracy and timeliness.
Proficient in Microsoft Office suite, including Excel, Word, and Outlook.
Demonstrated ability to use complex accounting systems; experience with Blackbaud Financial Edge, Accounts Payables module and Concur expense pay highly preferred.
Keen attention to detail; strong organizational skills and the ability to prioritize and work in a fast-paced environment.
Excellent verbal and written communications skills required. professional and courteous email and telephone manner.
Ability to handle confidential information with discretion and integrity a must.
