What are the responsibilities and job description for the Operations and Administrative Support Specialist position at National Audubon Society?
Key Responsibilities
- Oversee operational activities to enhance administrative systems, ensuring efficient functioning of operations at the center.
- Manage financial transactions, including payable and receivable processes, and maintain accurate financial controls and accounting systems.
- Work closely with program staff to ensure timely payment of bills and correct invoicing, as well as organization and approval of purchasing card activity receipts.
- Manage office contracts in accordance with Audubon policy, serving as primary contact for vendors, independent contractors, and building management.
- Collaborate with the Center Director and national finance staff to manage the office budget and support monthly close requirements.
Additional Responsibilities:
- Manage gift receipt and processing functions to provide excellent service to donors.
- Support the Center Director with donor communications, event planning, and development activities.
- Assist with grant reporting, proposal submissions, and funder correspondence.
- Oversight of maintenance, facilities, and grounds, including building systems and permits.
- Facilitate facility rentals, coordinate scheduling, and manage staff office and facility calendars.
- Provide IT support and guidance on shared cloud-based information systems, phone systems, equipment replacement, and staff training.
