Job Summary:
The Division Administrative Assistant provides comprehensive support to the Division Manager and team, ensuring efficient operations and effective communication within the division. Responsibilities include managing travel arrangements, preparing operational reports, overseeing office administrative tasks, coordinating regional travel, handling billing for Nationwide Special Events, and organizing meetings and training. This role plays a crucial part in maintaining organizational efficiency and supporting divisional objectives.
Essential Functions:
- Draft written responses or emails as required and respond to routine information requests from the Divisional Manager’s office.
- Type and format general correspondences, memos, charts, tables, graphs, business plans, etc.
- Sort, distribute, and open mail for the Division Manager.
- Arrange travel accommodation (airfare, hotel, car rentals) for the Division Manager.
- Type reports, calendars, meeting agendas, and handouts.
- Update and maintain travel arrangements, calendars, reports for Human Resources/Payroll/Safety correspondence, and management changes; update training binders as needed.
- Assist the nationwide Special Events Department and office as required.
- Communicate and implement changes in company policies and procedures as directed by corporate Human Resources.
- Process and submit timecards, vacation requests, attendance records, and benefits in coordination with Human Resources Department.
- Order office supplies, furniture, and other necessary items for the office.
- Manage accounts payable and billing responsibilities for Nationwide Special Events.
Qualifications
Qualifications:
- High School diploma or equivalent.
- Proficiency in Microsoft Outlook, Word, Excel, and Windows operating systems.
- Requires regular interaction with individuals both inside and outside the company across all organizational levels, necessitating tactfulness, discretion, and persuasion skills.
- Capable of making frequent decisions, planning, and handling complex tasks.
- Able to rely on general guidance for planning, scheduling, and organizing work.
- Proficient in computer skills including Rental Advantage, Word, Excel, PowerPoint, and Outlook, with a willingness to learn new systems.
- Applies common-sense understanding to execute detailed written and oral instructions.
- Valid driver’s license required.
- Notary Public certification preferred.
- Travel up to 20% may be required.

Salary : $58,000 - $75,000
