Summary
The Executive Administrative Assistant is responsible to support NISC’s executive and legal team. The Executive Administrative Assistant provides support to the legal team by organizing and tracking the lifecycle of contracts, administering NISC’s legal record keeping system, creating and facilitating the electronic signature of standard contract documents, assisting with legal and regulatory filings, and providing general administrative support. The Executive Administrative Assistant also provides administrative support to NISC’s executive team by assisting with scheduling needs, preparing and proofreading documents, and other administrative tasks.
Work Schedule
- Hybrid (after an initial training period) from our Mandan, ND office
- Hybrid Schedule: Minimum of 3 days per week in the office and ability to work up to 5 days a week in the office as needed
- Monday-Friday hours between 7:00 am-6:00 pm
Essential Duties
- Maintain contract templates and create routine agreements from standard templates
- Manage lifecycle of NISC contracts with vendors, partners, customers, and members
- Facilitate approval and execution of contracts by Vice Presidents/CEO (including the use of NISC’s electronic signature platform to create and execute standard contract documents)
- Compile information for completion of required State and Federal applications, reports, and filings
- Prepare, transcribe, file, and maintain legal documents, filings, and records
- Administer and maintain all recordkeeping processes for NISC’s legal documents
- Assist with the preparation and maintenance of Board documents, including board minutes, resolutions, and policies
- Maintain Legal and Executive appointments and assist with other scheduling arrangements
- Maintain confidential information with discretion and professionalism.
- Provide other Executive administrative support as needed

Knowledge, Skills, and Abilities Preferred
- Moderate level knowledge of administration and operations of business environments
- Excellent verbal and written interpersonal and communication skills
- Strong Microsoft Office skills (including Word, Excel, PowerPoint and SharePoint)
- Ability to handle highly sensitive or controversial subject matter in a professional and confidential manner
- Strong telephone/email etiquette with an ability to interact in a positive manner with internal and external customers
- Ability to develop strong relationships with all levels of the organization
- Ability to manage a heavy workload and organize and prioritize multiple projects

- Ability to work independently, as well as in a team environment
- Ability to travel as necessary to meet the goals and objectives of the position
Preferred Education and Experience
- Associate’s degree in legal or business-related field, or equivalent experience
- Minimum of 3 years of relevant legal or administrative experience
