The role requires an experienced and proactive individual who is skilled at practice management, maintaining current and complete files and document management systems, drafting administrative legal documents, managing internal and external communications, and ensuring the secure and efficient handling of original legal documents.

- Coordinate the drafting, review, proofreading, signature and collection of original documents including preparing and managing a document list and signing matrix for large projects
- Assist in preparing estate planning presentations, including summaries and projections, in collaboration with the team and family client advisory teams
- As requested, draft various private trust company administrative documents including, but not limited to, correspondence, consents, agreements, assignments, trustee succession instruments, notices, promissory notes, letters of directions and other miscellaneous documents based on previous work
- Support attorneys performing legal research on trust and estate-related issues and work with attorneys to prepare summaries and presentations
- Maintain working knowledge of various state and federal laws affecting trust administration, estate planning, and probate
- When required, ensure compliance with all court filing requirements and deadlines
- Efficiently track project or legal deadlines and maintain and report various project status to stakeholders
- Coordinate with outside professionals such as law firms, appraisers, investment advisors, and others regarding estate matters as needed
- Associate or bachelor’s degree
- Paralegal Certification preferred
- 10 years of relevant experience, preferably in a sophisticated trust and estates law firm practice
- Highly proficient in O365, including Word, Excel, Power Point, Outlook and SharePoint
- Excellent communication skills, presence, poise, and ability to develop close, collaborative relationships with internal and external colleagues
- High level of attention to detail and ability to manage multiple tasks simultaneously
- Collaborative and impeccably trustworthy, and able to keep highly sensitive information completely confidential
