Job Summary
This is a entry-level receptionist/administrative position, providing direct support to Directors, Department Coordinators, staff, instructors, and students in different areas in which several duties apply dealing with applications, reports, absences, and files. This job position is Part Time, requires 1 to 2 days a week and weekend availability.
Responsibilities and Duties
- Responsible for all activities and duties related to the front office area, which includes but is not limited to answering all phone calls, recording messages accurately and forwarding to appropriate person and transferring calls to correct extension, faxing, and making copies as required. Greeting all guest, potential students, and Pearson-Vue testers as well as providing to potential applicants initial enrollment application forms.
- Responsible for preparing all student initial files for Registrar, Career Services, Student Services, Financial Aid and instructors, which will include completed admissions application, all NPCollege forms and all pertinent forms required by state and /or government authorities. In charge of all filing of documents, forms or any other required information.
- Maintain accurate records on all student activity which includes time and dates on prospects appointments, attendance records and any other pertinent information on students. Responsible for dates and initials on file check off list.
- Maintain a student daily call log file for your own reference and submit it daily to proper departments, Maintain a professional and administrative/ staff and student relationship at all times.
- Report any and all incidents of non β compliance of school rules, policies, and regulations by students to Director of Operations or Director immediately. The same applies for any staff member, or instructor.
- Attend all workshops or seminars pertaining to the job description in order to learn new techniques or meet standard guidelines.
- Perform other related duties as assigned or required.
Qualifications and Skills
- Proficiency in MS Office with expertise in Microsoft Word, Outlook, and Excel preferred;
- Ability to analyze and interpret data entry;
- Detailed oriented and comfortable working in a fast-paced environment;
- Exceptional verbal and written communication skills;
- Superior organization skills and dedication to completing projects in a timely manner.'
