SUMMARY: This position is responsible for directing and coordinating all NACC grant activities for federal, state, local and private grants, which support short- and long-term strategic plan priorities of NACC. Working in collaboration with program and department leadership, the Grant Manager performs research to identify likely grants sources, prepares grant submissions, supports grant requirements, and coordinates the reporting for all executed grant contracts.
KEY FUNCTIONS AND RESPONSIBILITIES:
  • Oversee the implementation, budgeting and monitoring of various grants.
  • Take ownership of all relevant processes and reporting related to the various grants.
  • Meets with Clinic officers and management to identify funding needs and priorities, to develop proposal strategies and to gather related information.
  • Works closely with others to research and analyze prospective grantors to match the interests and preferences of funding sources to the needs of the Clinic.
  • Gathers and/or drafts supporting information and data to prepare letters of inquiry, proposals, and applications for funding to all foundation, government, and corporation prospects according to their guidelines for application.
  • Approaches, develops and cultivates long-term effective working relationships with representatives of private foundations, government/community offices, and corporations in order to promote/negotiate grant opportunities; follows up regularly on grant applications and opportunities.
  • Works with others to utilize appropriate software/database to maintain records on potential and current funders regarding meetings, communications, proposals, grants and reports; to utilize appropriate scheduling programs (such as Microsoft Outlook), for scheduling and tracking of all LOI’s, proposals, reports, etc.
  • Reviews grant utilization accounting reports monthly and provides regular feedback on progress of grant budget.
  • Develops and ensures that funders receive comprehensive reports in accordance with grant contracts and preferences; coordinates with relevant Clinic staff to collect pertinent data in a consistent and timely manner; coordinates with the accounting and fiscal staff for needed financial information and data/statistics reports.
  • Maintains knowledge of programs and services offered at NACC.
  • Maintains knowledge of best practices in grant management and trends in the nonprofit and FQHC health care sectors through reading, research, participation in seminars and other educational opportunities and personal contacts/memberships in the field.
  • Oversees maintenance of records/documents in accordance with Clinic policies and procedures, contractual obligations and funding sources.
  • Performs other related duties as assigned by management.
  • Maintains knowledge of fundraising activities and general operating funds.

Screen and Onboard Grants

  • Lead the grant evaluation team in assessing, screening and scoring grants that are under consideration for application. Work collaboratively with the team to assess good fit, appropriate existing infrastructure, available supervision, and compatibility with the mission of the organization.
  • Monitor the grant writing process for accuracy in approach and fit for the agreed upon purpose of the grant application and implementation.
  • When a grant is awarded develop a smooth onboarding process for the implementation of the grant such as identifying qualified candidates for grant- funded positions, training personnel in all aspects of the grant and assuring that all data collection processes and grant reporting processes are set up with passwords and accessibility.
  • Provides systems and tools to grant support staff and program managers to maintain compliance with assignments, due dates and grant requirements.

Set Up and Maintain Regular Meetings with Program Team

  • Attend and maintain regular meetings with the grant team to evaluate the progress and goal achievement of work plan as well as budget management.
  • Monitor and track the work plan of each grant for timeliness and goal achievement.
  • Continue to Track and adjust the work plan as the grant team develops a workflow with the grant deliverables and as they work with their Grant Project Officer from the granting agency.
  • Supports program managers to formally requests changes to budget, work plans and activities from the granting agency when needed.
  • Works with program manager on timely use of grant funds by monitoring grant budget reporting deadlines, grant funded positions, detail budget vs actuals, spending and coding.

Monitor Reporting Process

  • Maintain a calendar of reporting deadlines for each grant.
  • Work with each program manager to assure reporting compliance and accuracy.
  • Monitor budget narrative reporting and budget compliance, to ensure funds are being spent down timely and appropriately, spending is accurately coded for invoicing, and answer any questions about grant contract requirements and/or restrictions.
  • Ensures that training is completed in the first quarter of the grant for each grant manager on the data requirements for their grant and consistency in how data is being collected, stored and delivered to grantors for each reporting period.

Revisions and Key Changes

  • Collaborate with program staff/key point persons at least monthly, or more frequently as needed, to ensure funds are being spent down timely and appropriately. When issues arise and budget revisions are needed work with the grant manager to revise and submit budgets that are adjusted for changes in an approved work plan and maintain compliance with grant guidelines on budget revisions.
  • Collaborate with program staff/key point persons at least monthly, or more frequently as needed, to ensure the work plan is being managed and completed. If there are changes that need to be made to the work plan that require grant approval work with the grant manager to revise and submit revised work plans and maintain compliance with grant guidelines.
  • If key personnel are replaced work with leadership to submit changes that are in compliance with grant requirements and done in a timely manner to maintain a smooth transition for grant personnel.
Interdepartmental Responsibilities
  • This position is the liaison between grants, program and finance departments to ensure that all grant deliverables and budget work plans are met during the grant timeline.
  • Coordinate a Grants Kick-Off Meeting with all involved parties including clinical staff, leadership, and finance to review the grant work plan, budget and timeline as well as assign key point persons and duties to successfully execute the grant contract.
  • Work with staff and leadership on timely use of grant funds by monitoring grant reporting deadlines, grant funded positions, detail budget vs actuals, and spending and coding. Identifies barriers to grant program success and works with leadership and management staff to address issues and mitigate risks.
  • Collaborate with program staff/key point persons at least monthly, or more frequently as needed, to ensure funds are being spent down timely and appropriately, spending is accurately coded for invoicing, and answering any questions about grant contract requirements and/or restrictions.
  • Collaborate with the finance department on grant accounting including any questions regarding coding, invoicing, or budget adjustments.
  • Facilitate, in collaboration with Executive Officer and Senior Leadership, all budget adjustments, budget modifications, and contract amendments and extensions, as necessary.
  • Other duties as assigned.

SUPERVISORY RESPONSIBILITIES:

This job has no supervisory responsibilities.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • Bachelor’s or master’s degree is preferred, though equivalent work experience will also be considered
  • At least 2 years of grant management experience
  • Knowledge of Federal and State grant regulations
  • Strong analytical ability as well as excellent written and oral communication skills
  • Excellent interpersonal skills and ability to interact with all levels of staff
  • Must be able to handle multiple competing priorities
  • Must be trusted with confidential information
  • Superior skills in Excel and other applications in Microsoft Office suite.
  • Expert knowledge in research grants, reporting and financial systems preferred
  • Working knowledge of general development practices in a nonprofit environment with specific emphasis on writing/submitting grant applications.
