Position Overview: The Clinical & Administrative Support Specialist is a dynamic and integral member of NAVA Face & Eye, serving as a float between front office duties, medical assistant responsibilities, and patient care coordination. This individual will provide high-level administrative and clinical support to ensure an exceptional patient experience, seamless workflow, and effective communication within the practice.
Key Responsibilities:
Front Office & Patient Relations:
- Serve as the first point of contact for patients, greeting them warmly and ensuring a welcoming environment.
- Answer and direct phone calls, emails, and messages promptly and professionally.
- Patient check-in/check-out, scheduling appointments, and verifying insurance information.
- Maintain and update patient records, scan necessary documents, and ensure accurate data entry.
- Provide financial estimates, collect co-pays, and explain billing policies.
- Assist with patient inquiries, providing information about procedures, services, and office policies.
- Oversee front office inventory and maintain an organized reception area.
Medical Assistant & Clinical Support:
- Prepare patients for office visits, procedures, and surgeries, ensuring proper documentation and consent forms are completed.
- Assist the physician with office-based procedures, including preparing instruments, maintaining a sterile environment, and supporting patient care.
- Obtain patient medical history and vital signs, ensuring accurate and thorough documentation.
- Manage prescription requests and refills, coordinating with pharmacies as needed.
- Assist in surgical scheduling, ensuring pre-operative requirements (labs, imaging, authorizations) are met.
- Organize and stock clinical supplies, maintain instrument sterilization protocols, and monitor inventory.
- Ensure compliance with HIPAA and OSHA regulations.
Patient Care Coordination & Surgery Scheduling:
- Serve as a liaison between patients, providers, and surgical facilities to coordinate and confirm surgeries.
- Educate patients on pre-operative and post-operative care, answering any questions regarding procedures.
- Track patient inquiries and follow up with potential surgical candidates.
- Collaborate closely with the provider to ensure an efficient surgical schedule and optimize block time usage.
- Maintain patient financial records related to surgical procedures, ensuring payments are collected in advance.
- Maintain before-and-after photo galleries and assist with marketing efforts, including patient satisfaction tracking and outreach.
Qualifications & Skills:
- Education: High school diploma required; associate or bachelor’s degree preferred.
- Experience: Minimum of 3-5 years in outpatient specialty practice in any of the three departments required – training will be provided.
- Strong knowledge of medical office workflows, front desk operations, and clinical procedures.
- Excellent written and verbal communication skills, with a focus on patient-centered service.
- Ability to multitask in a fast-paced environment while maintaining attention to detail.
- Proficiency with electronic medical records (EMR) and practice management software.
- Professional demeanor, strong organizational skills, and a positive, team-oriented attitude.
- Comfortable discussing financial arrangements and insurance authorizations with patients.
- Ability to maintain confidentiality and adhere to HIPAA regulations.
Physical & Working Conditions:
- Prolonged sitting, occasional bending, stooping, and light lifting required.
- Normal office and clinical environment; occasional evening or weekend work may be required.
