ABOUT THE ROLE:
This position will perform a wide variety of administrative services in support of the day-to-day operations for multiple
Senior Executives at the Credit Union. This position will require initiative, judgment, and independent decisionmaking. This position will serve as a proactive team member by volunteering and participating in events and committees
while providing valuable input and suggestions. Additionally, this role will be required to address all tasks and concerns
quickly and professionally while maintaining the confidentiality of sensitive information. This position will be required to
interact warmly and enthusiastically with employees, members, guests, and Board members and will be a crucial partner
in accomplishing several projects and tasks that impact the daily operations of the Executive Team.
WHAT YOU WILL DO:
1. With limited supervision, performs complex and routine administrative duties to include maintaining
mailing lists, processing invoices, ordering office supplies, organizing files, maintaining a structured digital
and physical filing/record keeping system, coordinating mailings, mail merges and phone support.
2. Prepares reports and/or special projects, which may include data collection, coordination, final copy
preparation and distribution.
3. Acts as a point of contact among executives, employees, clients and other external partners. Responds to
inquiries based on executive preference and availability, office functions and/or credit union policies and
procedures.
4. Manages calendars, meetings, travel schedules and itineraries and expense reports ensuring completeness
and accuracy.
5. Provides courteous and professional service to other team/department members in alignment with the credit
union's mission and core values.
6. Types correspondence, reports, memos, meeting minutes and other related materials. Supports
development of presentation materials.
7. Performs all other administrative duties as assigned by the Sr. Executive Assistant or member of
the executive team.
QUALIFICATIONS:
Education
High School Diploma with related coursework in word processing, secretarial skills and general office
background.
Experience/Skills/Knowledge:
1. 3 years previous experience working in an executive administrative support role required, preferably in a credit
union or financial institution.
2. Excellent organizational, analytical and problem-solving skills required to make administrative/procedural
decisions and judgments.
3. Ability to handle multiple projects/priorities simultaneously with limited supervision, on time and with an
effective outcome.
4. Ability to gather data, compile information and generate reports is required.
5. Ability to deal with and safeguard highly confidential information is required. Must possess strong service
orientation skills that align with the credit union's core values.
6. Excellent verbal, written, telephone and interpersonal communication skills.
7. PC proficient, including aptitude with modern meeting software such as WebEx and Teams is required.
Advanced aptitude with Microsoft Office (Word, Excel, PowerPoint, Outlook, Visio) and the Internet are also
required.
8. Ability to function in a commercial office environment and utilize standard office equipment including
but not limited to: fax, copier, telephone, etc. Some travel required. Ability to lift a minimum of 25lbs.
