This is advanced administrative work assisting management in a wide variety of staff services or administrative functions for a Director of a large Division or a Director of a small Department.
An employee in a position allocated to this class may be responsible for planning and directing operational programs in which coordination and administrative supervision are the most important aspects of the work. Work involves assisting in overall administration and management. Errors in judgment decisions could result in substantial adverse impact to the County. Work is performed with considerable independence and only the more important assignments are reviewed.
JOB DUTIES :
1. Coordinates, maintains, and oversees the activities of a specialized section.
2. Renders direct assistance to a technical or administrative superior in the overall administration of division operations.
3. Maintains a variety of records, compiles data, completes legal forms, timekeeping and / or payroll, and types reports and letters.
4. Prepares correspondence and requests; documents and follows up on work in progress to ensure timely reply or action.
5. Performs related work as required.
Requirements
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES :
1. Thorough knowledge of business English, spelling, grammar and arithmetic.
2. Thorough knowledge of office practices and procedures, systems and equipment.
3. Knowledge of the standard practices in the fields of personnel management, budgeting and accounting.
4. Ability to plan, direct and coordinate the work of others when required by assignments.
5. Skill in the use of a personal computer, calculator, standard office equipment.
6. Ability to work independently on complex and confidential secretarial tasks.
7. Ability to search for and compile data from files and other sources applicable to the topic of concern.
8. Ability to perform word processing and / or data entry.
9. Ability to establish and maintain effective working relationships with other employees, County officials and the general public.
MINIMUM ENTRANCE REQUIREMENTS :
Graduation from high school or an equivalent recognized certification; four (4) years of diversified general clerical experience; or any equivalent combination of related training and experience.
