Job Summary:
The Office Administrator plays a vital role in ensuring smooth day-to-day operations by managing invoicing, accounts receivable, office administration, customer and supplier interactions, and shipping coordination. This position requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
Administrative & Clerical Support
- Answer and direct phone calls professionally with excellent phone etiquette.
- Coordinate and schedule meetings, appointments, and conferences, keeping calendars up to date.
- Maintain and organize both physical and electronic filing systems.
- Manage the front desk area, ensuring a welcoming and organized environment.
Invoicing, Accounting & Financial Tasks
- Prepare and send invoices, ensuring accuracy in QuickBooks.
- Monitor and manage accounts receivable, including follow-ups on outstanding payments.
- Process accounts payable and assist with purchase order management.
- Reconcile customer accounts and resolve discrepancies.
- Maintain accurate records of financial transactions.
Customer & Supplier Coordination
- Serve as a primary point of contact for customers and suppliers, addressing inquiries and providing information.
- Create and send purchase orders in QuickBooks, track vendor deliveries, and manage AP.
- Keep the CRM platform up to date with detailed information.
- Follow up with suppliers on orders to ensure timely delivery.
Shipping & Logistics
- Learn and assist with administrative duties related to shipping.
- Create Bills of Lading (BOLs) and coordinate with local terminals.
- Work closely with freight brokers to ensure smooth shipping processes.
IT & Special Projects
- Occasionally assist with IT-related tasks and troubleshooting.
- Support management with various projects and tasks as assigned.
Qualifications:
- Proven experience in office administration, accounting, or a related field.
- Strong knowledge of QuickBooks and accounting principles.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Experience managing invoices, accounts receivable/payable, and purchase orders.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multitask effectively.
- High attention to detail and accuracy in completing tasks.
- Ability to work independently and as part of a team.
- Experience with CRM platforms and shipping logistics is a plus.
