Human Resources & Communications - Bismarck, ND - Executive Assistant
Play a key role in supporting the efficient and effective execution of the Human Resources and Communications team's work on behalf of North Dakotans. ND Health & Human Services is seeking an Executive Assistant to support Human Resources (HR) and Communications team members.
In this newly created position, you will provide administrative support, activity coordination and office management to the Chief Human Resources officer (CHRO), Chief Communications Officer (CCO), and approximately 50 HR and Communications team members. This means you'll:
- Manage communications, priorities and workflow: Coordinate meetings, travel and special projects. Handle financial processes, billing , purchases and account reconciliations
- Internal and external communication: Prepare and send correspondence, manage HR inbox and perform routine administrative tasks.
- Maintain information: Update HR and Communications procedures, maintain digital resource libraries and manage annual calendars. Ensure compliance with State of ND Records Retention requirements. Log and track all HR-related inquiries including grievances, appeals and general constituent inquiries.
- Agency representation: Participate in internal morale and engagement activities and represent the agency in administrative groups.
To succeed as the Executive Assistant, you must demonstrate exceptional organizational skills, managing multiple tasks efficiently and meeting deadlines while maintaining a high level of attention to detail. You handle confidential information with discretion and professionalism. You anticipate and address needs of team members while maintaining a positive and collaborative attitude. Most importantly, you know how to partner with others to build something valuable for your organization.
To be considered for this position, you must have the following education and experience:
- High School diploma or GED.
- Two (2) years of work experience in high-level administrative support duties providing support to multiple team members.
- Proficiency using productivity tools such as Microsoft Office Suite with strong skillsets in Excel, Word, Outlook and Teams or related software.
- Experience maintaining a high degree of discretion and confidentiality.
- Demonstrated strong time management skills with a proven ability to meet deadlines.
Preferred qualifications include:
- Experience with Human Resources and/or Communications functions.
- Associate's degree in office administration/management, administrative assistant or related field.
- Bachelor's degree in business administration, office management or related field.
Location: This position requires onsite attendance due to its responsibilities. This position will be based in the Judicial Wing of the North Dakota State Capitol in Bismarck, and consistent attendance is essential.
