Mission of NDI New Mexico
National Dance Institute of New Mexico was founded with the knowledge that the arts have a unique power to engage and motivate children. Purpose of the Staff Accountant:
The Staff Accountant supports the Senior Director of Finance and Administration in the areas of accounting, finance, and office management. This position works extensively with technology, provides information and documentation on an on-going basis, and providing excellent customer service to all NDI New Mexico staff members, vendors and contacts. The Staff Accountant is part of NDI New Mexico’s administrative staff.
Primary Responsibilities:
Accounts Receivable
Inputs vendor invoices and processes related payments, maintains supporting payment documentation. Maintains vendor information, including vendor setup, W-9 verification and related IRS reporting (1099’s)
- Manage all Accounts Receivable functions including weekly and monthly reconciliations with Advancement and Artistic Staff.
- Provides reports to staff for collecting outstanding invoices for schools and donors.
- Maintains customer lists, generates quotes and invoices, inputs data to financial software, manages and records payments and follows up on outstanding balances.
- Properly records and monitors short-term and long-term pledge receivables.
- Uses daily reports to properly record all revenue accounts such as Endowment, Contributed Income, Grants, Sales, Rentals, Tuition, and other Miscellaneous Revenue
- Run reports in Salesforce to reconcile monthly with Sage Intacct.
CASH MANAGEMENT
- Manage all Cash Management functions (creating deposits, Salesforce credit cards, electronic ACH deposits, recording donations, depositing cash, etc.).
- Ensure deposits are taken to bank in a timely manner and entered into Sage Intacct on a weekly basis.
- Checks and monitors all bank accounts and investment accounts on a daily basis. Serves as a liaison with bank contacts
- Maintain and reconcile petty cash accounts on monthly basis to ensure that funds are kept in accordance with NDI policies and procedures.
- Process and reconcile cash boxes for events, box office, and merchandise sales.
Grant and Financial Reporting
- Maintain detailed backup documentation for expenses related to grants and contracts, as well as prepare monthly billings for Federal, PED, SFPS, and Bernalillo contracts.
- Track grant payments and work with Advancement team and Senior Director of Finance to prepare proposal and renewal budgets
Fixed Assets
Maintains fixed asset records for additions and dispositions, conducts physical inventories of assets, records depreciation and maintains supporting documentation.
Cash and Banking
Manages & processes deposits, maintains and reconciles petty cash and cash boxes for events, box office, and merchandise sales; reconciles deposits to Advancement software deposits
Financial Reporting
Performs Balance Sheet reconciliations, as assigned, assists with the allocation of administrative costs, assists with all external reporting, , and tax returns.
Responsibilities relating to month end close, including journal entries and review of transactions Assist in the preparation of the audit and collection of back up as required
Provides reporting for budget and actual performance reporting and performs variance analysis Grant and contract reporting
Office Management/Other
Procures necessary office supplies, coordinates mail receipt and delivery, oversees maintenance of office equipment, Serves as back up to Hiland Accountant
Other duties as assigned
Working Conditions, Environment and Physical Requirements:
- Performs his or her functions primarily in NDI New Mexico offices, with some duties requiring visits to Post Office, Bank, attorney offices, other locations as required
- Requires occasional weekend and evening hours to support NDI New Mexico events
- Requires ability to lift up to 10 lbs.
- Requires ability to navigate stairs
Qualifications
Knowledge, Skills, and Abilities Required:
Job Specific Requirements:

- Minimum of a bachelor’s degree in Accounting or Business
- Minimum of 5 years of accounting experience; experience using GAAP
- Excellent computer skills with MS Word, Excel, databases, uploads/download, and Financial/Accounting Software; preferably Sage-Intacct
- Provides excellent customer service
- Problem solving ability – identify causes, gather and process relevant information, generate possible solutions, make recommendations, and resolve problems
