We are seeking a detail-oriented and efficient Billing Specialist to join our finance team. The ideal candidate will be responsible for ensuring accurate and timely billing processes, maintaining billing records, and managing customer invoices. This position requires strong organizational skills, attention to detail, and the ability to work effectively with clients and internal teams to resolve billing discrepancies. In this role, you will report directly to the Billing Manager/Director of Accounting.
Key Responsibilities:
Invoice Preparation:
- Generate and send accurate invoices to customers on a regular basis, ensuring that all charges are correct and in line with company agreements or contracts.
- Review billing data for accuracy and completeness, including verifying account information, pricing, and services rendered.
- Ensure timely and accurate posting of payments to customer accounts.
Billing Discrepancies:
- Respond to billing inquiries from customers, addressing concerns and resolving discrepancies or issues in a timely manner.
- Investigate billing disputes and work with relevant departments to rectify any issues, including making adjustments or issuing credits as necessary.
- Work with internal teams to ensure customer accounts are correctly billed and payments are accurately reflected.
Account Reconciliation:
- Perform regular reconciliation of customer accounts to ensure that all invoices are paid and balances are accurate.
- Maintain detailed records of all billing transactions, adjustments, and customer communications.
Billing Reports and Documentation:
- Prepare and generate reports on outstanding invoices, aging reports, and monthly billing summaries for management.
- Maintain accurate records of billing-related documentation for audit and compliance purposes.
Customer Communication:
- Develop and maintain positive relationships with customers by providing prompt responses to billing inquiries and addressing issues proactively.
- Send reminders for overdue accounts and assist customers with payment arrangements when necessary.
Collaboration:
- Collaborate with the accounting and finance teams to ensure accurate and complete billing processes.
- Assist with month-end and year-end closing procedures by providing billing-related data and reports.
Necessary Qualifications:
- Education: High School Diploma or equivalent required; Associate’s Degree in Accounting, Finance, or a related field is preferred.
- Experience: 2 years of experience in billing, accounts receivable, or a similar finance role.
- Skills:
- Strong knowledge of billing processes and financial transactions.
- Proficient in billing software and MS Office Suite (especially Excel).
- Excellent attention to detail and organizational skills.
- Strong communication skills, both written and verbal, to effectively interact with customers and internal teams.
- Ability to handle sensitive and confidential information.
- Strong problem-solving and analytical skills.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
Preferred Qualifications:
- Experience with invoicing and billing systems (e.g., QuickBooks, NetSuite, etc.).
- Familiarity with customer service and resolving billing disputes.
- Experience in a specific industry (i.e. wholesale products) may be advantageous.
