The State of Nebraska is looking for an enthusiastic and dedicated Office Specialist to join the Vital Records Team within the Division of Public Health. What We Are Looking For: We are seeking a detail-oriented, proactive, and reliable individual who excels in communication and organizational tasks. The ideal candidate will be someone eager to learn, grow, and contribute to a team environment. If you have a strong customer service mindset and enjoy working in an administrative role, we want to hear from you!

Key Responsibilities

  • Answer phone calls and route them to the appropriate person or department.
  • Perform accurate data entry.
  • Manage incoming and outgoing mail, including overnight deliveries, responsible for processing and organizing mail.
  • Handle returned mail, including contacting customers via phone or email.
  • Assist in the issuance of vital records such as birth, death, marriage, and dissolution certificates.
  • Learn and adhere to relevant policies and procedures.

Requirements/Qualifications

Minimum Qualifications: Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency. OR: Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.

Preferred Qualifications

  • Experience with data entry and database management.
  • Strong written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Team-oriented with a focus on customer service.
  • Strong understanding of and capacity to apply policies and regulations effectively in a collaborative environment.

Knowledge, Skills, And Abilities

  • A strong understanding of clerical and secretarial tasks, including recordkeeping, database management, and report preparation.
  • Knowledge of customer service practices and relevant policies and procedures.
  • Proficiency in grammar, punctuation, and composition for business communications.
  • Skill in using word processing and data management software.
  • Ability to effectively communicate both in writing and verbally.
  • Strong organizational skills and attention to detail.
