Nature of Work
The Project Coordinator performs a variety of professional and administrative duties in support of the day to day operations for the Vice President for Administration and Finance (VPAF) department. Will be responsible for a variety of duties in support of the contract process and ensuring compliance with LB 429. In addition, this position will perform special projects and other high level administrative functions – this is not a secretarial position. Will also assist in program planning and development, interprets, monitors, and analyzes information regarding operating policies and procedures and administers budgets in cooperation with department directors. This position is non-exempt from overtime for FLSA.
Examples of Work Performed
- Serve as point of contact for campus defensive driving program. Also ensures an accurate record of all approved drivers in compliance with NSCS policies and State Transportation rules;
- Interacts with dealers, vendors, sales representatives to assist VPAF in obtaining quotes, etc.;
- Assists VPAF with project management /coordination of projects;
- Review and process all incoming contracts (including ensuring all supporting documentation is attached, including W-9, Certificate of Insurance, Attestation Form, ACH Form, return contract with VPAF signature to the originator to obtain vendor/contractor signature; track the contract for timely return of fully executed document);
- Manage and track Order-to-Pay (OTP) and Construction-in-Progress (CIP) budget process;
- Manage PSC Foundation billing;
- Serve as third-person review for accounting processes;
- Assists with the LB 309 process (submit proposals and/or contracts, etc.);
- Scan the contract into IonWave, input all LB 429 required data into IonWave, and Input renewal and reminders into IonWave for future management of the contract;
- Track College leases for Comptroller to provide to auditors;
- Know and interpret NSCS Board policies related to purchasing of goods and contracting for services;
- Prepare request for proposal (RFP) documents, publishes RFP, responds to questions and collects submissions;
- Tracks contracts to allow for sufficient time to create RFP documents and finalize a new contract prior to the end of the existing contract so services are not disrupted;
- Prepare Board of Trustee reports as needed for VPAF;
- Oversee projects and processes for the VPAF;
- Order supplies for the VPAF office;
- Responsible for processing bills for the VPAF;
- Interacts in a positive and professional manner with co-workers/staff/faculty, supervisors, students, and external constituencies;
- Other duties as assigned.

Required Qualifications
Associate’s degree or work related experience.
Preferred Qualifications
Experience and demonstrated skills in MS Office applications and propensity toward learning new technology in a fast-paced environment strongly preferred. Demonstrated strong interpersonal and organizational skills are also preferred. Must be able to manage complex projects, make effective decisions and solve problems under conditions of stress and competing priorities and possess the ability to communicate complex information, both verbally and in writing.
