Clerical Responsibilities:
- Screening and Triage of Calls: Handle incoming calls and prioritize based on urgency or program requirements.
- Tracking Services and Reporting: Maintain records of services provided, prepare reports as needed.
- Volunteer Coordination: Assist in managing and coordinating volunteer activities.
- Database and Mailing Lists Management: Maintain and update databases for various program services and client information.
- Office Supplies and Inventory: Monitor stock, place orders, receive deliveries, and store items. This also involves lifting and organizing supplies up to 20 lbs.
- File Management: Perform daily filing tasks, pulling and refiling client records in a multi-drawer filing cabinet.
- Equipment Management: Ensure office equipment is functioning well, including troubleshooting and coordinating repairs or maintenance as needed.
- Restocking Supplies: Ensure that items like paper for printers are replenished in a timely manner.
Program Support:
- Member Registration and Enrollment: Assist with client or participant intake and registration.
- Telephone Reassurance and Case Assistance: Provide support to clients, particularly in terms of reassurance calls and case management when needed.
- Information and Referral (I&R): Offer community resource referrals to clients and participants, assisting them with information on available services.
Other Duties:
- Reception Supervision: Oversee the reception area and any volunteers or staff working in that space.
- Participation in Meetings and Training: Attend relevant training sessions, meetings, and staff development activities.
- Administrative Support: Assist in resolving any operational issues that arise within the program.
- Other Tasks: Be ready to take on additional tasks as assigned by the supervisor.
Skills and Qualifications:
- Education: High school diploma or equivalent.
- Technical Skills: Proficiency in Microsoft Office and database systems.
- People Skills: Strong communication and interpersonal skills, particularly for working with clients and volunteers.
- Community Resources Knowledge: Familiarity with local community resources for Information and Referral is important.
- Language Skills: Fluency in Spanish is preferred.
