As an Administrative Assistant, you will play a key role in ensuring the smooth operation of our office, supporting preconstruction estimating, and contributing to our team's overall success.
Qualifications:
- Experience: Minimum of 2 years of experience in an administrative or office support role. Experience in construction or estimating is a plus.
- Education: High school diploma required; Associate's Degree preferred.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Familiarity with software like Chief Architect or JobTread is a bonus.
- Communication: Strong written, verbal, and interpersonal communication skills.
- Organizational Skills: Exceptional ability to prioritize tasks, manage time effectively, and maintain attention to detail.
- Professionalism: Must project a professional image and maintain a positive attitude.
Responsibilities:
- Administrative Support: Support day to day office operations, including communication and correspondence with trade partners and suppliers.
- Estimating Assistance: Collaborate with the preconstruction team to assist with cost estimates for labor, materials, equipment, and subcontractor services.
- Documentation: Prepare and organize contracts, proposals, and project documentation.
- Vendor Coordination: Assist in communication with vendors and subcontractors to gather quotes and confirm project details.
- Reporting: Generate reports and maintain accurate records for preconstruction and administrative processes.
- Cost Reporting: Generate financial reports, including cost-to-complete and variance reports, for management review.
- Client Communication: Serve as a point of contact for client inquiries and help ensure their needs are addressed promptly and professionally.
- Support Team Initiatives: Provide general support to the management team and assist with special projects as needed.
Salary and Benefits:
- Job Type: Full-Time or Part-time (30-ish hours per week) with pro-rated pay.
