Executive Support & Board Operations Liaison (Contract-to-hire)
You are an Executive Support & Board Operations Liaison providing high-level administrative and operational support to the CEO and Board of Directors, ensuring efficiency and compliance. Working under the direction of the CEO and EVP, HR, this role manages key projects, optimizes workflows, and enhances communication between leadership and stakeholders.
This position pays: $38 to $42 per hour
Location: Oakland, CA - Hybrid
What You Will Be Doing:
CEO Support (40%)
- Manage the CEO’s calendar, schedule meetings, and coordinate travel logistics.
- Prepare detailed briefing materials and ensure the CEO’s schedule aligns with organizational priorities.
- Implement process improvements to enhance operational efficiency.
Board Management (35%)
- Plan and execute bi-monthly board meetings, including logistics, materials preparation, and timely distribution of documents.
- Maintain board and committee calendars, ensuring alignment with organizational goals.
- Collaborate with senior staff to produce board reports and presentations.
- Strengthen stakeholder relationships to facilitate communication and collaboration.
HR Support (15%)
- Assist in planning and executing all-staff meetings, employee trainings, and special HR initiatives.
- Manage all-staff communication tools and draft key messages.
- Provide administrative support for HR programs and process improvements.
ELT Support (10%)
- Support ELT project planning, meeting preparation, and follow-up activities.
- Draft and proofread documents, presentations, and correspondence.
- Contribute to special projects and overall departmental efficiency.
What You Bring:
- Experience: 3–5 years of experience supporting executives in fast-paced environments
- Non profit and board experience a plus
- Organizational Skills: Strong ability to prioritize tasks, manage deadlines, and handle competing demands.
- Technical Proficiency: Advanced Microsoft Office skills (Word, Excel, PowerPoint), experience with shared workspace platforms like Teams and SharePoint.
- Adaptability: Ability to work independently, manage ambiguity, and respond effectively to changing priorities.
- Interpersonal Skills: Strong relationship management across all levels of an organization.
- Confidentiality & Discretion: Proven ability to handle sensitive information with professionalism.
- Communication: Excellent written and verbal communication skills.
