Overview
The Houston office of an AmLaw 100 law firm is seeking an experienced Administrative Assistant to support Litigation and Intellectual Property (IP) Attorneys by providing a high level of administrative assistance to a dynamic team of legal professionals. This role requires a proactive, detail-oriented professional who thrives in a fast-paced environment while delivering exceptional administrative and legal support. The ideal candidate is a team player with a “can-do” attitude, strong problem-solving skills, and the ability to anticipate needs while working collaboratively with attorneys and legal staff.
A Day in the Life
The ideal candidate will have experience in a legal environment and strong administrative support skills. This role involves managing calendars, processing expense reimbursements, reviewing and organizing documents, handling document management, e-filing, docketing, and providing litigation support. Additionally, the Assistant will be responsible for conducting conflict checks, initiating new client or matter engagement letters, configuring billing specifications, assisting with billing and client invoicing, and managing expense reports.
Success in this position requires exceptional proficiency in Microsoft Office Suite, the ability to quickly learn and utilize technology, and strong attention to detail when reviewing documents. Experience with document management systems, billing software, and time entry programs is strongly preferred, while familiarity with electronic docket filing systems is required. The ideal candidate is well-organized, detail-oriented, and exercises sound judgment, reliability, accountability, and confidentiality. Strong written and verbal communication skills are essential, as this role provides critical support to attorneys and paralegals within a dynamic litigation practice team.
We Know You
The ideal candidate for this role will have at least five years of recent experience in State and Federal litigation within a law firm setting, with a strong preference for those with experience in IP litigation and IP practice. Success in this role requires the ability to thrive in a fast-paced environment by efficiently organizing and prioritizing multiple time-sensitive tasks on a daily basis. Candidates should have a solid understanding of key legal principles, exceptional attention to detail, strong IT skills, and excellent time management abilities. Additionally, the ideal candidate will possess strong interpersonal skills and sound professional judgment to effectively interact with attorneys and clients.
