Role Overview:
As the Payroll Supervisor, you will be the subject matter expert responsible for the complete ownership and management of our US payroll function. You will oversee all aspects of payroll processing, compliance, and reporting across our five sites and remote employees in various states. Your expertise will be critical in ensuring accurate payroll, adherence to all applicable regulations, and providing exceptional support to our employees. Position will process payroll for approximately 210 EE's and will assist accounting with AR/AP.
Key Responsibilities:
Payroll Processing & Management:
Oversee the accurate and timely processing of payroll for all US sites and remote employees.
Manage workflow to ensure all payroll transactions are processed efficiently.
Execute time sheet and attendance processing, interfacing seamlessly with payroll systems.
Process manual checks as needed.
Compliance & Reporting:
Ensure compliance with all federal, state, and local payroll regulations, including those related to final pay, overtime, double-time, meal premiums, and unclaimed property.
Process garnishments, levies, and other involuntary deductions accurately and in compliance with legal requirements.
Manage state and federal tax filings, including quarterly and year-end reconciliations.
Prepare and file voluntary deduction reports.
Generate accurate and timely year-end reporting (W-2s, etc.).
Develop ad hoc financial and operational reports for senior management.
Vendor & System Management:
Manage vendor transactions related to flex spending, 401(k), and other benefit programs (via HRIS and EDI feeds).
Reconcile payroll prior to transmission and validate confirmed reports.
Update and reconcile monthly bank statements.
Problem Solving & Communication:
Research and resolve payroll-related issues, ensuring accuracy and efficiency.
Liaise with service providers to address and resolve payroll-related matters.
Communicate effectively with HR and other departments to ensure alignment on payroll-related matters.
Research and email appropriate audience of file issues.
Process Improvement & Documentation:
Document and update payroll procedures to ensure accuracy and efficiency.
Understand and apply proper taxation of employer-paid benefits.
Qualifications:
Proven experience as a Payroll Supervisor or similar role, managing multi-state payroll.
Strong understanding of federal, state, and local payroll regulations.
Proficiency in payroll software and HRIS systems.
Excellent analytical, problem-solving, and organizational skills.
Strong attention to detail and accuracy.
Excellent communication and interpersonal skills.
Ability to work independently and as part of a team.
Experience processing multi state payroll is a must.
